About Curbside Enterprises:

The mission of Curbside Enterprises is to provide income and employment opportunities to people struggling with homelessness and poverty. Curbside works to provide dignified income to people who often feel like they have no other options, enable people to end their homelessness through our employment and housing programs, put a face to the issue of homelessness, and empower the community to play a role in solving the problem.

Job Summary:


The Curbside Enterprises front desk coordinator will welcome vendors and guests to the Curbside office and ensure they have a positive experience. The position will be responsible for establishing a welcoming and professional first impression for all visitors, no matter the person or their need. The front desk coordinator will handle daily Curbside magazine vendor transactions and communication with clients. Data collection, data entry, and other administrative assistance with a high attention to detail, accuracy, timeliness, and sensitivity will be required. The successful candidate will have a friendly and outgoing personality, understand the nature of communication appropriate to the visitor, be aware and sensitive to the needs of people struggling with homelessness and poverty, use trauma-informed care and de-escalation practices, and enjoy helping others while maintaining boundaries.


Responsibilities:

  • Vendor Transactions:
    • Maintain a positive, welcoming, and calm environment for people entering the building.
    • Interact with vendors, non-profit service providers, volunteers, and the public to answer questions and direct to appropriate resources as needed.
    • Handle Curbside vendor transactions including but not limited to the wholesale of magazines, wrapping paper, magazine trades, magazine loans, rewards, and uniform trades.
    • Document transactions through proper systems with a high attention to detail and accuracy.
    • Communicate important information to magazine vendors including information about vendor outings, high impact weather days, and enforcing no-sale requirements.
    • Distribute supplies and resources including bus passes, sunscreen, snacks, and other supplies following set guidelines and procedures.
    • Provide resources and referral information for people in need of additional assistance.
    • Communicate with vendors about needed paperwork and updates.
    • Collect and document information from vendors including updates to sales locations, contact information, housing status, and other sensitive personal information, handling with care and confidentiality.
    • Remain alert and sensitive to the needs of people experiencing or at risk of homelessness who are in need of assistance. Training on trauma-informed care and de-escalation will be provided and these practices will be utilized in this position.
  • Administrative, Data Entry, Research:
    • Maintain reception area in neat and orderly condition at all times.
    • Ensure that the door is open and the reception area and telephones are covered during operating hours.
    • Answer, assess, and route all incoming calls, maintaining a professional and courteous demeanor at all times.
    • Notify staff of appointments upon arrival.
    • Receive and document in-kind donations with a grateful and positive attitude.
    • Update magazine vendor sales locations in mapping system.
    • Manage inventory for new vendor packets and other supplies.
    • Print and laminate vendor signs and package new vendor orientation packs.
    • Input new vendor orientation data into all specified systems with a high attention to detail, accuracy, and timeliness.
    • Create vendor income letters utilizing sales reports.
    • Monitor the vendor bulletin board assuring information is current and presentable and communicate needs to vendor program director.
    • Research and maintain referral lists ensuring we are providing comprehensive and up-to-date information on partner agencies and community resources.
    • Monitor email and voicemail and transfer to the appropriate person.
    • Maintain security by following safety and security procedures.
    • Receive mail, sort, and distribute.
    • Assist with data entry and research as assigned.
    • Perform other office and clerical tasks as assigned.

Requirements:

  • Must possess excellent oral skills.

  • Must be able to multi-task and remain calm in demanding and unpredictable situations.
  • Must possess ability to understand various Curbside operations and procedures.
  • Must be able to maintain a professional, customer service-oriented attitude at all times.
  • Must have a high level of interpersonal skills to handle sensitive and confidential Curbside, client, donor, and employee information and situations. Ability to meet face-to-face with a diverse clientele; able to develop rapport, provide information, and refer with sensitivity to cultural issues. Ability to work and communicate with staff, clients and their families, donors, vendors, community agencies, etc. to meet their needs in a polite, courteous and cooperative manner, yet appropriate assertive as situation may demand.
  • Must display a high level of initiative, effort and commitment towards completing assignments efficiently.
  • Ability to work with minimum supervision and demonstrate attention to detail.

Education and Work Experience:

  • Minimum of a High School diploma or GED required.
  • Experience with computers including the internet, Microsoft Word, Excel, and Outlook required.
  • Experience working in an office environment; experience working in a nonprofit service provider environment preferred.

Physical Requirements:

  • Employee is regularly required to sit and work at a computer and telephone system for long periods of time in an office environment.
  • Employee may occasionally lift/move weight up to 30 lbs.
  • Employee is required to accept incoming calls and must be able to hear and speak.
  • Employee must have visual acuity to read and draft reports, memos, letters, etc.
  • Employee must have the manual dexterity to manually operate and use a computer.
  • The noise level is quiet to moderate; non-smoking environment.

Work Environment:

  • Office-based with regular interaction in public service areas.
  • Hectic and unpredictable situations can occur in public areas.
  • Fast-paced environment with potential exposure to emotionally charged situations.
  • May encounter environments with strong odors and varying levels of sanitation.
