Job summary

MeBe is seeking a Front Desk & Administrative Support professional to join our Mesa, AZ Learning Center. You will handle scheduling lines, emails, and inquiries while coordinating with families and staff to keep sessions on track.

The role is on-site, Monday–Friday, 8:00 AM–5:00 PM, with responsibilities spanning front desk coverage, records management in CentralReach, and basic reporting. A 1–2 year admin background (ABA a plus) and strong communication are essential.

Qualifications

  • Availability: Mon–Fri, 8:00 AM – 5:00 PM (on-site).
  • 1–2 years administrative or scheduling experience (ABA preferred).
  • Ability to think on your feet and solve problems on the go.
  • Strong planning and organizational skills; high energy; excellence-driven; strong communication; team player.
  • Familiarity with G Suite is a plus.
  • Ability to stay calm in high-stress situations.
  • Excellent customer-oriented attitude.
  • Experience with scheduling systems (CentralReach a plus).
  • Comfortable balancing front desk and scheduling responsibilities.

Responsibilities

  • Assist with managing scheduling phone lines, emails, chats, and daily call-outs.
  • Support session cancellations, make-ups, sub coverage, and break coverage.
  • Coordinate with staff and families regarding schedule updates.
  • Maintain accurate records in CentralReach (sessions, updates, corrections).
  • Support morning cancellation process and coverage coordination.
  • Generate reports, trackers, and documents (Excel, Canva, etc.).
  • Assist with timecard follow-ups.
  • Assist BTs with rendering unconverted sessions.
  • Provide high-level customer service to families and staff.
  • Other duties as requested.

About What You’ll Work On

Front Desk & Administrative Support (Blended Responsibilities):
  • Greet guests and families as needed and provide front desk coverage during peak times or call-outs.
  • Maintain front lobby organization and ensure a welcoming environment.
  • Answer phones and triage inquiries appropriately (scheduling vs. intake vs. general questions).
  • Monitor and respond to shared inboxes, ensuring timely follow-up.
  • Verify incoming paperwork and ensure completion for scheduling readiness.
  • Support supply tracking and restocking as needed.
  • Assist with planning and setup of clinic events when applicable.
  • Maintain administrative functions for the Learning Center, including filing, scanning, copying, mailing, and organizing records.
  • Monitor office equipment, submit maintenance requests, and assist with inventory management.
  • Assist with ordering office and clinic supplies as needed.
Cross-Functional Support:
  • Partner with Scheduling, Intake, Authorizations, and Clinic teams to ensure continuity of care
  • Step in to support Level 1 responsibilities when coverage is needed
  • Begin taking ownership of small scheduling projects or center-specific workflows
