Job summary

AoPS Academy is hiring a Front Desk Associate for our Santa Clara location. This in-person, part-time role greets students and families, answers phones and emails, manages calendars, and supports campus operations to ensure smooth daily activity.

The ideal candidate will have customer service experience, strong organizational and communication skills, and comfort with Google Workspace and CRM tools. Training provided; part-time afternoon/evening hours.

Qualifications

Responsibilities

  • Answer phone calls and emails; greet students and families.
  • Support campus operations and inventory control.
  • Maintain calendars and schedule meetings; keep records up-to-date.
  • Generate reports from internal databases; assist admissions as needed.
  • Organize classroom and office supplies; supervise students between classes.
  • Assist full-time staff with campus procedures and light cleaning.

Join Our AoPS Academy as a Front Desk Associate!

As part-time front desk staff at our location inSanta Clara, CA you will answer phone calls and emails, warmly welcome both current and prospective students and their families, and act as the friendly face of AoPS Academy while classes are in session. Additionally, in this role, you will support campus operations by helping take inventory, tidying up the facility, and assisting the full-time staff with other campus procedures to ensure things are running smoothly.

The Front Desk Associate will:

  • Serve as campus receptionist; answer the phone, respond to voicemails, and pass on relevant information to the appropriate staff member
  • Manage and respond to customer inquiries both by phone and email
  • Maintain multiple calendars, schedule meetings and ensure everything is up-to-date
  • Use internal database to generate reports and lists
  • Provide admissions assistance as needed with consultation requests, scheduling, and post-consultation follow-ups
  • Organize and prepare classroom and office supplies
  • Supervise students between classes
  • Perform light cleaning duties; assume responsibility for the organization, operation, and appearance of the lobby and front desk area
  • Participate in occasional outreach/in-reach opportunities
  • Other duties as assigned

The ideal candidate has:

  • Experience confidently interacting with customers; experience interacting with families and students (elementary through high school) preferred
  • Strong organizational, prioritization, and computer skills (both Apple and PC)
  • Strong communication skills with De-escalation instincts
  • Excellent verbal and written communication skills; knowledge of correct grammar, spelling, and English usage
  • Establish and maintain positive, effective working relationships with students, parents, staff, and the general public
  • Ability to work both independently and collaboratively
  • Maintain flexibility to effectively solve problems under pressure
  • Administrative and/or customer service experience
  • CSR & CRM Experience
  • Proficiency with Google Workspace applications (i.e. Docs, Sheets, Calendar, etc.)
  • Motivated to learn new technologies
  • Maintain customer confidentiality
  • Excited about our mission of motivating high-performing students
  • Lift up to 25lbs

This is an in-person, part-time position at our Santa Clara location.

Our team is currently seeking candidates who can work the following days:

Day Hours (ET)

Friday 3:00 PM - 8:30 PM

Saturday 11:00 AM - 5:00 PM

Sunday TBD

  • Pay Rate: 24.29 - 24.86/hour.
