Job Summary
Front Desk Agents are responsible for greeting and registering guests, providing outstanding guest service during their stay, and settling the guest’s account upon completion of their stay. Primary responsibilities include registering guests, making and modifying reservations, and performing hotel operator and concierge duties. They must deliver attentive, courteous, and efficient service to all guests prior to arrival and throughout their stay, while maximizing room revenue and occupancy.
Education & Experience
- High School diploma or equivalent required; college coursework in a related field is helpful.
- Experience in a hotel or related field preferred.
- Possess a positive, upbeat personality with a desire to deliver outstanding customer service.
- Ability to multi-task, be detail-oriented, and problem-solve effectively with internal and external customers.
- Clear communication skills to convey information and ideas effectively.
- Ability to evaluate and select among alternative actions quickly and accurately.
- Work well under stress and in high-pressure situations.
- Effective in handling workplace problems, including anticipating, preventing, identifying, and solving issues.
- Active listening skills to understand and clarify guest and coworker concerns.
- Ability to understand and work with financial information and perform basic arithmetic.
- Proficiency in using Microsoft Office suite.
- Willingness to work varied schedules, including evenings, nights, weekends, and holidays.
- Understanding of hotel products and guest services (e.g., lifestyle, full service, resort).
- Ability to contribute to a positive and enjoyable work environment.
Job Duties & Functions
- Approach all guest and staff interactions with friendliness and a service-oriented attitude.
- Maintain high standards of personal appearance and grooming, including proper uniform and name tag compliance.
- Attend work regularly as scheduled, adhering to Avion Hospitality standards.
- Follow all policies, standards, and regulations to ensure safe and efficient hotel operations.
- Greet and welcome guests warmly at the front desk, maintaining a friendly demeanor.
- Operate the telephone switchboard properly, meeting performance standards.
- Handle guest requests for information, mail, messages, and other inquiries courteously and efficiently.
- Provide information about hotel services, facilities, and local attractions.
- Communicate effectively with team members and other hotel departments.
- Be knowledgeable about rates, packages, promotions, and in-house group details; be aware of closed-out and restricted dates.
- Accurately take and record room reservations, following rate quoting procedures.
- Familiarize with all hotel policies, house rules, and hospitality terminology.
- Understand and assist with emergency procedures as needed.
- Manage check-ins and check-outs courteously and efficiently.
- Operate all relevant front desk computer systems proficiently.
- Ensure proper logging and delivery of packages, mail, and messages.
- Use proper radio communication etiquette with colleagues.
- Assist with delivering guest items such as luggage, newspapers, messages, and amenities.
- Stay informed about hotel amenities, events, and local attractions.
- Perform additional duties as assigned, including assisting colleagues, maintaining cleanliness, and ensuring safety throughout the hotel.
