The Opportunity

We’re looking for a highly organized and detail-oriented Fractional Finance & Bookkeeping Manager to join us on a limited part-time basis. This person will manage day-to-day finance operations — from invoicing to forecasting — and serve as a trusted partner to our Founder & CEO on all things revenue, cash flow, and cost management.

You’ll need to be comfortable navigating nuance (every client deal looks a little different), proactive about surfacing risks or opportunities, and confident working independently in QuickBooks Online.

What You’ll Do

• Own monthly invoicing and client billing — ensuring accuracy across varied payment terms, retainers, and blended scope arrangements
• Track incoming payments, manage receivables, and flag overdue invoices
• Support P&L builds and cash flow forecasts for agency leadership
• Partner with the CEO to build rolling revenue forecasts, analyze burn vs. runway, and offer proactive guidance
• Process 1099 contractor and freelancer payments, and track hours/costs accordingly
• Monitor costs across tools, platforms, and vendors to help identify waste and prevent overruns
• Liaise with our external accountant during tax season and ensure clean handoffs
• Collaborate with our payroll and benefits partner to ensure all reporting and payments stay in compliance
• Maintain all financial records in QuickBooks Online (QBO) and help refine categorizations and tags as the business grows

What You’ll Bring

• 3–5+ years of small business bookkeeping, finance, or accounting experience (agency or services business a plus)
• Deep fluency with QuickBooks Online (QBO) — you’ve cleaned up messy accounts and built clean ones from scratch
• Experience managing invoicing in businesses where each client contract may have unique terms
• Ability to translate financial data into clear summaries and recommendations
• Comfort working independently with minimal hand-holding — you know when to flag issues and when to move forward
• Familiarity with cash flow planning, budget tracking, and forecasting tools (Excel, Google Sheets, or specialized platforms)
• Confidence communicating with CEOs, accountants, and benefits/payroll providers alike
• Detail-obsessed but flexible — you know things shift in a startup and can roll with it

• Prior fractional/freelance bookkeeping roles for early-stage startups
• Familiarity with project profitability tracking and blended rate billing models
• Experience helping founders prepare for future fundraising or due diligence
