CMC Recruiting is seeking an experienced Foundation Operations & Development Coordinator to join a small, collaborative team in San Francisco. This broad administrative role supports operations, board administration, development, grant making, communications, events, and special projects.

The ideal candidate will be resourceful, take ownership, manage multiple priorities, and see work through to completion with limited direction. This role offers meaningful mission-driven work and visible impact.

Qualifications

  • 4–7 years of nonprofit admin or foundation operations experience.
  • Proven ability to manage multiple priorities and deadlines.
  • Experience supporting boards, committees, donors, or external partners.
  • Experience with donor databases/CRM and related apps.
  • Excellent organization and attention to detail.
  • Strong written and verbal communication; professional demeanor.
  • Proficiency with Microsoft Office and videoconferencing.

Responsibilities

  • Support the President and staff with calendars, expenses, and correspondence.
  • Coordinate board meetings, invitations, RSVPs, agendas, materials, video meetings, and follow-up.
  • Draft meeting summaries and minutes.
  • Process donations and maintain donor records.
  • Prepare acknowledgment letters, donor lists, mailings, and basic reports.
  • Support appeals, campaigns, website updates, collateral, and other communications projects.
  • Coordinate vendors, catering, materials, and logistics for board meetings and events.
  • Maintain organized files, records, workflows, and documentation.
  • Help evaluate and implement technology or systems that can improve productivity.
  • Own recurring administrative and operational processes from start to finish.
  • Identify opportunities to improve systems, timelines, and internal coordination.
  • Step into special projects and changing priorities as needed across a small, hands‑on team.

Job description

A well-established public foundation focused on improving the health and wellness of the San Francisco community is seeking an experienced Foundation Operations & Development Coordinator.

This individual will join a small, highly collaborative team and support all areas of the organization, including operations, board administration, development, grant making, communications, events, and special projects.

This is a broad administrative role. The right person will be experienced, resourceful, and comfortable taking ownership. They will know how to anticipate needs, keep multiple priorities moving, and follow work through to completion with limited direction.

What You’ll Do:
  • Support the President and Foundation staff with scheduling, calendars, expense reports, correspondence, and day-to-day administrative needs
  • Coordinate board and committee meetings, including invitations, RSVPs, quorum tracking, agendas, materials, video meetings, and follow-up
  • Review, edit, and finalize meeting summaries and minutes
  • Process incoming donations and maintain accurate donor and contact records
  • Prepare acknowledgment letters, donor lists, mailings, and basic reports
  • Support appeals, campaigns, website updates, collateral, and other communications projects
  • Coordinate vendors, catering, materials, and logistics for board meetings and special events
  • Maintain organized files, records, workflows, and documentation
  • Help evaluate and implement technology or systems that can improve productivity
  • Own recurring administrative and operational processes from start to finish
  • Identify opportunities to improve systems, timelines, and internal coordination
  • Step into special projects and changing priorities as needed across a small, hands‑on team
What We’re Looking For:
  • Approximately 4–7 years of experience in nonprofit administration, foundation operations, development support, executive support, or a similarly broad coordination role
  • Experience independently managing multiple priorities, deadlines, and stakeholders
  • Experience supporting boards, committees, senior leaders, donors, grantees or external partners strongly preferred
  • Experience with donor databases, CRM, and other applications
  • Strong judgment, initiative, and follow-through
  • Exceptional organization and attention to detail
  • Clear and professional written and verbal communication skills
  • Proficiency with Microsoft Office, videoconferencing platforms, and modern productivity tools
  • The ability to handle confidential information with discretion
  • A collaborative, service‑minded approach and comfort working on a small team

This role is based in the organization’s San Francisco office, with occasional remote work possible. Minimal local travel and occasional attendance at Foundation events may be required.
