Responsibilities

  • Keep production and orders on track, updating daily production/order lists and ensuring readiness of ingredients, packaging, labels, pallets, and paperwork.
  • Run gluten and glyphosate testing to procedure; pull and label samples, record lot numbers and dates, and notify the Plant Manager of results.
  • Identify and prepare finished-product samples for outside labs and file COAs as required.
  • Maintain accurate records and daily reports in Acctivate, delivering a clear status update to the Plant Manager each day.
  • Escalate issues early with what happened, risks, actions taken, and what is needed to prevent delays.

Why this role matters

Every batch of grain we process started on a U.S. farm and is headed for a retail shelf. Getting it there — safely, accurately, on time — depends on someone keeping the day‑to‑day production and orders organized, the purity testing done right, and problems surfaced early enough that the Plant Manager can act on them. That's this job. When it's done well, orders ship complete and on time, test records are clean, and the whole plant has a clear picture of where things stand.

The opportunity

This is a hands‑on, high‑visibility role on a small, dedicated team during a period of real growth. We are in an exciting, active expansion phase. You won't be one cog in a giant operation — you'll be the person the Plant Manager relies on to keep production and orders moving, and your work will be visible every single day.

The role has genuine variety. Part of your day is active and physical: you're on the floor confirming materials are staged, helping the team keep work moving, tracking what's produced, packed, and shipped. The other part is precise and technical: running gluten and glyphosate purity tests to procedure, pulling and submitting samples to outside labs, and keeping accurate records. If you like moving between “get it done on the floor” and “get the details exactly right,” this role gives you both.

As CIVC grows, the systems and routines you help run and improve become the backbone of a bigger operation. You'll have a standing invitation to spot any recurring misses, dig into why they happen, and recommend better ways to do the work.

What you'll do

Keep production and orders on track. Review open orders and upcoming production needs, build and update the daily production/order list, and confirm the ingredients, packaging, labels, pallets, and paperwork are ready before work starts. Coordinate with the production team to keep work moving to plan, track what's completed, staged, shipped, or delayed, and jump in on the floor when an order needs hands to get out the door.

Run purity testing to procedure. Perform gluten and glyphosate testing according to SOP once trained and approved. Pull and label samples correctly, record lot numbers, dates, results, and notes, and notify the Plant Manager when results are in. You'll flag any failed, unclear, or delayed result immediately — this role executes testing and reports it; it doesn't interpret results or decide product release.

Manage finished‑product lab submissions. Identify and prepare finished‑product samples for outside labs, complete submission forms accurately, ship them on schedule with the right handling, track pending results, and file reports where they belong. Provide COAs to customers as required.

Own the records and the daily report. Keep production, order‑status, testing, and sample‑submission records accurate in Acctivate. Before you leave each day, give the Plant Manager a clear status report: what was produced, packed, shipped, or held; what didn't get done; testing completed and samples sent; pending results; missing materials; and any equipment or staffing issues that need a decision.

Escalate early, every time. If an order misses its ship date, materials are missing, equipment or staffing is at risk, a result is in question, or the SOP doesn't fit the situation — you raise it early and clearly: what happened, what's at risk, what you've already done, what you need, and by when.

What success looks like

Orders are tracked accurately from open to shipped, and the Plant Manager never has to wonder where things stand. Assigned tests are run correctly and recorded cleanly, samples go out on schedule, and results are tracked until they're back. Problems reach the right person before they turn into missed ship dates. And you have a reliable system for completing routine work accurately and on time.

You're organized by instinct — lot numbers, paperwork, test results, order status — and you'd rather work from a checklist and a written procedure than from memory. You're comfortable moving between physical work on the floor and focused, detail‑exact lab and record work. You speak up early when something's unclear or at risk instead of guessing, and you stay calm, respectful, and clear with the people around you. You understand the value and importance of food safety, and that your work is done correctly.

Experience and requirements
  • Experience or training in food businesses, including food safety and production — human or animal food safety, human or animal manufacturing, restaurant management, grain processing, milling, ag processing, warehouse, or order fulfillment.
  • Ability to follow written SOPs, checklists, and documentation exactly, keep accurate records, and communicate when information is missing, late, or at risk.
  • Food safety training sufficient to understand GMP expectations, testing handoffs, product status, and when to elevate. Training will be provided if needed.
  • Able to be the on‑site PCQI food safety contact. Training will be provided if needed.
  • Comfortable helping on the production floor when orders need it.
  • Helpful, not required: experience with MS 365 (Excel, MS Teams, Word), Acctivate, Cin7, ShipStation, or similar order/inventory/shipping systems; audit or audit‑support experience; and a background in gluten‑free, organic, allergen‑controlled, or purity‑tested food environments.
What this role is not

This is a structured execution role that supports the Plant Manager. It does not require overall plant management, food safety system ownership, GMP enforcement as the responsible person, SQF/organic/GFCO audit readiness beyond assigned SOPs, product‑release decisions, staff discipline or hiring, or major equipment decisions. It is a great place to learn those skills from our plant manager!

Compensation, schedule, and benefits

$32–$38 per hour, on‑site in Belgrade, Montana. This is an hourly position eligible for paid overtime. The plant runs a single daytime shift — no nights or rotating schedules. We offer health care benefits and paid time off.
