The Fluids Lab Administrative Assistant I is responsible for completing various administrative tasks that support the daily operations of our Fluids Laboratory, ensuring efficient, timely, and accurate communication and documentation of samples. This role also involves providing exceptional customer service, both internally and externally.

DO YOU HAVE WHAT IT TAKES?

WHAT YOU'LL DO:

  1. Maintain laboratory records, including registration of samples, progress, results, equipment maintenance logs, and customer account information.
  2. Mail and distribute sample report results daily.
  3. Communicate daily with the lab manager and staff on sample progression.
  4. Serve as a customer contact, responding promptly to internal and external customer needs.
  5. Maintain weekly and monthly invoicing for customers.
  6. Complete lead assignments for action-required samples in software.
  7. Facilitate customer access to web portals and assist with using CAT inspect and QR-coded sample bottles.
  8. Assist in monthly customer reporting and administer customer satisfaction surveys.
  9. Monitor and purchase supplies as needed.
  10. Complete safety and technical training required for the role.
  11. Assist in maintaining and revising standard operating procedures for instruments supporting ISO Certification.
  12. Promote communication and collaboration to enhance customer focus and loyalty.

WHAT YOU'LL NEED:

  1. High school diploma or GED, or less than one year of related experience, or an equivalent combination of education and experience.
  2. Exceptional customer service skills.
  3. Basic organizational and communication skills.
  4. Knowledge of safety protocols related to Fluids Laboratory.
  5. Ability to interpret safety rules, instructions, and manuals.
  6. Effective report and correspondence writing skills.
  7. Ability to speak effectively before groups.
  8. Common sense understanding to follow instructions.
  9. Problem-solving skills involving standardized situations.
  10. Knowledge of MS Office Suite.

IMPORTANT INFORMATION:

Employees must be able to sit, talk, hear, use hands, reach, stoop, kneel, or crawl. Occasionally, standing and walking are required. The environment involves exposure to fumes, airborne particles, and chemicals. The noise level is usually quiet. Travel up to 10% may be required. This is a safety-sensitive position.
