Job summary

Oak Street Health is seeking a Welcome Coordinator to create a warm, organized first impression for patients and guests. This role supports front-desk operations, coordinates schedules, and ensures smooth clinic flow while upholding our patient-first culture.

The Welcome Coordinator works within the Service Team, reports to the Practice Manager, and may travel to nearby centers to assist in delivering exceptional patient experiences across the region.

Qualifications

• Strong computer skills and knowledge of Google Suite.
• Professional phone etiquette in a healthcare setting.
• Fluency in Spanish, Polish, Russian, or other languages spoken by communities we serve.
• US work authorization is required.

Responsibilities

• Welcoming patients and guests.
• Check-in patients and assist with required forms.
• Collect co-pays from patients.
• Update patient information in the electronic medical record (EMR).
• Schedule and reschedule appointments in the EMR system.
• Manage phone lines, take messages, and make outbound calls as needed.
• Handle faxes in the electronic fax system.
• Maintain cleanliness of the Welcome and Community Room areas.
• Be prepared to float to other centers in the region.
• Perform other duties as assigned.

Role Description: The Welcome Coordinator creates an inclusive environment for anyone who walks through our doors and makes a positive first and last impression on patients. They are the face of the clinic and help keep center operations efficient. They perform administrative tasks to support the broader team in delivering an unmatched patient experience, delivering the best care, and helping Oak Street be a great place to work. Tasks include scheduling patient appointments, managing inbound and outbound phone calls, and administrative duties such as fax and mail distribution. Welcome Coordinators should be friendly and highly flexible.

The Welcome Coordinator is part of the Service Team and reports to the Practice Manager. The Service Team focuses on delivering a seamless experience for patients and community members. Welcome Coordinators deliver high-touch assistance to patients and guests every day.

Core Responsibilities

• Welcoming patients and guests
• Conducting visit check-in and assisting patients with required forms
• Collecting co-pays
• Updating patient information and making changes in electronic medical record platform
• Scheduling/rescheduling appointments within electronic medical records platform
• Managing phone lines by answering, taking messages, and conducting outbound calls as instructed
• Managing faxes in the electronic fax platform
• Maintaining the cleanliness of the Welcome and Community Room areas
• Required to float to other centers in the region on a regular basis
• Other duties as assigned

What we\'re looking for

Required

• Strong computer skills required and basic knowledge of Google Suite

• Fluency in Spanish, Polish, Russian, or other languages spoken by people in the communities we serve (where necessary)
• US work authorization

Pay Range

The typical pay range for this role is $17.00 - $31.30. This range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
