Position Summary
As a Flight Coordinator at Mira Vista Aviation, you will be at the center of flight logistics and operational execution, ensuring that every trip reflects the company’s uncompromising standards of precision, integrity, and white-glove service. This role demands both strategic thinking and meticulous attention to detail, with a focus on optimizing schedules, managing client relationships, and maintaining compliance with all regulatory and safety standards. You will support a dynamic flight operations team, serve as a liaison between internal departments and external partners, and play a key role in maintaining our reputation for excellence across every stage of the client’s journey.

Key Responsibilities
Flight Planning & Dispatch Oversight
-Coordinate all domestic and international trip logistics including but not limited to: hotel bookings, ground transportation, catering, overflight permits, and FBO/ramp reservations.
-Manage dispatch duties and flight following, ensuring timely, safe, and compliant operations.
-Manage the flight schedule, and monitor crew availability to maximize asset utilization.

Client & Crew Communication
-Serve as a central communication point for clients, crew, vendors, and internal departments ensuring alignment and clarity throughout all trip phases.
-Build long-term relationships with clients, aircraft owners, and crew members through attentive, proactive support.

Operational Optimization
-Strategically manage empty legs to reduce inefficiencies and maximize revenue opportunities.
-Analyze cost-effective measures for fleet movement, including fuel verification and vendor coordination.
-Track and respond to potential delays or disruptions caused by weather, air traffic, or logistics constraints.

Regulatory Compliance & Documentation
-Ensure all operations comply with FARs, company policies, and international handling requirements.
-Maintain accurate and up-to-date records in our flight scheduling system, including aircraft, crew, passenger, vendor, and operational documentation.

Administrative & Support Functions
-Assist in onboarding processes and scheduling travel/accommodations for flight crew training.
-Perform flight duty log verifications and assist with owner reporting and operations reporting.
-Contribute to general administrative functions as directed by the Flight Operations Department.

Brand Stewardship
-Represent Mira Vista Aviation professionally in all interactions, upholding the brand’s reputation for integrity, discretion, and excellence.
