Job summary

Job Summary

The Fleet Coordinator at TelemetryX is responsible for ensuring the accuracy and timeliness of fleet-related administrative processes, including vendor work orders, invoicing, and asset tracking. This role plays a key part in maintaining complete and organized records, resolving discrepancies, and supporting operational efficiency across client accounts. The Fleet Coordinator works closely with vendors, PRC and internal teams to ensure smooth execution of fleet services, while identifying opportunities for process improvement and system updates. Success in this role requires attention to detail, strong communication skills, and a proactive approach to problem-solving in a fast-paced environment.

The selected candidate will begin working remotely and transition to a 100% on-site role once our Atlanta office location is established.

Key Responsibilities
  • Support TLX’s 3PM offering which includes Fleet Management and Reporting, Performance Management and Safety while leveraging TLX hardware and software.
  • Collaborate with PRC’s portfolio management, remarketing and opportunity management teams to support equipment returns, buyouts, renewals and new purchases.
  • Ensure Operational Excellence across the TLX service and product offerings.
  • Ensure timely and accurate submission, review, and reconciliation of vendor work orders and invoices.
  • Audit maintenance invoices to ensure accuracy, compliance with contract terms, and alignment with approved work orders.
  • Categorize invoices based on Elective, Avoidable and Needed.
  • Validate labor, parts, and service charges against agreed pricing and scope of work.
  • Maintain detailed records of invoice audits and communicate findings to internal teams and PRC shared services for corrective action.
  • Maintain comprehensive records for all fleet accounts, ensuring data integrity and accessibility.
  • Investigate and resolve invoice discrepancies and vendor-related issues with professionalism and efficiency.
  • Identify and input new equipment into the Asset Pro system, ensuring accurate asset tracking.
  • Collaborate effectively across teams to address customer inquiries and operational challenges.
  • Support continuous improvement by identifying opportunities to streamline administrative processes.
  • Perform additional clerical and administrative duties as assigned to support fleet operations.
  • Maintain preventive maintenance schedules in the asset management system and ensure upcoming services are flagged.
  • Communicate with vendors to confirm scheduled maintenance appointments and follow up on completion.
  • Update maintenance records promptly after service completion and verify that work aligns with approved scope.
  • Spot recurring maintenance issues or delays in vendor compliance and elevate to the Fleet Manager for strategic resolution.
  • Monitor safety alerts and alarms in the telemetry system and elevate critical issues to the Fleet Manager. Assist in preparing safety performance dashboards and KPI reports for Fleet Manager review.
  • Support implementation of safety initiatives by scheduling training sessions and updating compliance databases.
Fleet Management Support
  • Prepare and maintain performance dashboards and KPI reports for Fleet Manager review.
  • Ensure timely and accurate data entry to support ROI analysis and client reporting.
  • Assist in compiling quarterly ROI reports and client presentations.
  • Coordinate with vendors and internal teams to ensure service execution aligns with client performance goals.
  • Monitor compliance and safety documentation to support Fleet Manager’s strategic initiatives.
  • Monitor fleet performance data for anomalies, trends, or variations that could impact cost, safety, or utilization.
  • Identify patterns in telemetry data and elevate significant findings to the Fleet Manager for strategic review.
  • Collaborate with internal teams and PRC to validate data discrepancies before escalation.
  • Support proactive decision-making by flagging early indicators of performance deviations.
  • Identify discrepancies or overcharges in Maintenance Invoices and elevate to Fleet Manager for resolution.
  • Prepare weekly or monthly reports summarizing maintenance adherence, missed schedules, and recurring problems for Fleet Manager review.
  • Monitor safety alerts and alarms in the telemetry system and elevate critical issues to the Fleet Manager.
Requirements
  • Education: Associate degree in Business Administration, Supply Chain, or a related field; Bachelor’s degree preferred.
  • Experience: 2+ years in administrative support, operations coordination, or fleet management; experience with invoice auditing and vendor management is a plus.
  • Language: Bilingual proficiency in English and Spanish (written and verbal) required to effectively communicate with diverse clients, vendors, and internal teams.
  • Technical Skills: Proficiency in Microsoft Office Suite; familiarity with asset management systems and data entry best practices.
  • Attention to Detail: Strong ability to review, validate, and reconcile invoices and maintenance records accurately.
  • Organizational Skills: Demonstrated ability to manage multiple tasks, maintain comprehensive records, and meet deadlines in a fast-paced environment.
  • Analytical Ability: Capability to identify discrepancies, monitor performance data, and elevate issues appropriately.
  • Communication Skills: Effective verbal and written communication for collaborating with vendors, internal teams, and clients.

Compensation and Benefits
  • Base Hourly Rate:$30-$35/hr.
  • Performance Bonus: Eligible for a quarterly bonus of up to 10% bringing the total compensation range to $33-$38.5/hr.
