JOB TITLE: Fitness CoordinatorFLSA Status:Exempt

General Statement of Duties:Performs a variety of administrative and operational duties associated with the operation and management of adult/senior fitness and personal training programs.The Fitness Coordinator is responsible for ensuring that fitness programming is planned, organized, directed, and controlled according to organizational policies and procedures as well as sound business practices.This position works with program and facility team members as well as community providers.

Supervision Received:Works under the supervision of the Fitness Team Leader.

Supervision Exercised:Responsible for the supervision of the part-time group exercise instructors/coaches and personal trainers.

JOB DESCRIPTION

Examples of Duties:The following examples of duties are intended to be illustrative only and are not intended to be all-inclusive.

  • Defines, develops, and implements registration, scheduling, and supervision of fitness programs in line with HRCA mission and values, the governing documents of the HRCA, and recreation program guidelines. Ensures that programs and procedures comply through ongoing evaluation of program areas and service delivery. Consult with appropriate staff, advisory groups, and public resources for ideas and suggestions.
  • Establishes ongoing relationships with agencies, businesses, and industry associations to support fitness programming.
  • Completes the purchasing for assigned programs according to established HRCA procedures.Monitors and manages the use and condition of equipment in assigned areas.
  • Implements a customer service model for assigned programs that enhances positive communication and support for all customers, both internal and external.Maintains a positive approach and role models professionalism in attire and presentation style.
  • Works with other departments and services to coordinate information and services in all four recreation centers. Assists other program and facility areas as needed.
  • Maintains a presence in assigned programs that provide the part-time employees with ongoing opportunities to interact with their supervisor. Coordinates substitute instruction as needed, in the absence of regularly scheduled staff.
  • Supervises, trains, and evaluates part-time staff within assigned program areas; develops job standards and expectations for part-time employees that incorporate safety and quality in the performance of duties. Ensures that all staff are properly trained and equipped. Keeps data regarding the accomplishment of training and current certification for fitness department employees.
  • Completes payroll for assigned staff according to set procedures.
  • Ensures that financial guidelines are met for assigned revenue and expense lines. Monitors program budget information regarding assigned areas in appropriate accounting and programming software on an ongoing basis for compliance with monthly and annual budget reports. Develops budget requests as required for the annual budget process. Embraces and supports the operating principles of HRCA recreation programs to meet budget goals by covering direct costs as well as an indirect overhead allocation.
  • Develop calendars for each Activity Guide period for group fitness, specialty fitness, and personal training programs. Accounts for alignment of fitness programs to be suitable to the senior, teen, and general populations. Provides website and promotional information according to established deadlines and procedures.
  • Develops assigned sections of the HRCA recreation activity guide ensuring that assigned programs are planned and coordinated with attention to detail and adherence to financial boundaries and established deadlines and procedures.
  • Trains clients and/or teaches group fitness classes as needed.
  • Performs related duties as assigned and required.

Physical and Environmental Standards: Most work is performed indoors in a busy office where noise and interruptions prevail. Must be able to frequently sit and occasionally walk, stand, climb, bend, kneel, stoop, reach and lift, push or pull.Manual dexterity is needed to type, write, use a calculator, and answer the phone. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity. Upper body strength is a requisite to lift/move a maximum of 40 pounds unassisted and 60 pounds with assistance.

QUALIFICATIONS

Required Knowledge, Skills & Abilities:Must display well-developed communication and conflict management skills. Must have management knowledge and experience in planning, organizing, directing, and controlling resources to meet business directives. General knowledge of fitness/personal training programs and events. Ability to organize, manage, and direct multiple divisions and perform multiple tasks.Computer literate. Ability to effectively communicate, both verbal and written, with internal and external customers. Must possess a valid driver’s license, a clean motor vehicle record, and meet all HRCA driving policy standards, including pre-approval to drive from the HRCA insurance carrier.

Must pass a pre-employment background check and drug screening.

Education:Bachelor’s degree in a related field from an accredited college or university. Nationally accredited fitness certification in group exercise, personal training, or other fitness areas preferred.

Experience: Minimum of 1 year of program coordination experience, preferably in the fitness industry or a related field. Experience must include a minimum of 1 year in a supervisory/management role which included financial management and business development.
