Job description

Destination Wealth Management is a rapidly growing Wealth Management firm with an opening for an assistant in our financial planning group. This is an opportunity for an intelligent, positive, and highly organized person with high initiative, strong communication skills, and a desire to learn.

The assistant will primarily support the Professional Services team within the financial planning group, by ensuring workflow structure, tracking cases and deadlines, as well as maintaining client files and documents. In addition, you will provide operational and administrative support to the financial planning team. Your knowledge in the team’s policy, procedures, and technology will allow you to interface with team members and advisors to anticipate their needs, resolve their problems, and follow through to provide exceptional service. Administrative duties will include maintaining our software, updating manuals, conducting audits, etc. Excellent verbal, written, and electronic communication skills are essential as well as time management and critical thinking skills

Responsibilities

  • Organize case files and supporting documents for the Professional Services team
  • Track deadlines, workflow steps and deliverables to help Professional team stay on schedule
  • Run quarterly audits on financial planning at firm level to maintain compliance standards
  • Gather and maintain client data, entering information into relevant systems
  • Schedule and manage the financial planning projects with the advisor team
  • Active participation in workflow, process, and client financial planning experience improvements
  • Prepare final client planning reports, summaries, and tracking reports for the advisor team
  • Create and manage the Financial Planning dashboards on Salesforce.
  • Review and update financial planning cases in Salesforce
  • Collaborate with team to ensure the successful execution of the planning calendar and deliverables
  • Research securities holdings data in support of advisor and financial planning team members

Qualifications

  • Series 65
  • 3-5 years of financial services, tax, estate and/or operations experience preferred
  • Bachelor’s degree in business or related field
  • CFP candidates or desire for CFP certification preferred
  • Comprehensive knowledge of topics related to financial planning
  • Strong interpersonal aptitude and solid work ethic
  • Exemplary written and verbal communication skills
  • Strong attention to detail and accuracy
  • Experience in financial planning sofware (MoneyGuidePro, Holistiplan, Salesforce)
  • Proficient in MS Outlook, Word, Excel, and PowerPoint
  • Operational Experience in Salesforce, DocuSign, Adobe, and Zoom
  • Partial remote position
