Job summary

The Willamette Valley Cancer Institute and Research Center is seeking a Financial Counselor to join our back office team in Eugene, OR. You will help patients understand insurance coverage, review benefits, and estimate out-of-pocket costs, while supporting the cash posting team with payments and daily deposits.

Previous medical insurance experience and confidentiality are essential for this role. This position emphasizes compassionate service and accurate documentation.

Qualifications

  • Minimum one year of medical office, insurance verification, claims, or billing experience.
  • Proficiency with computer systems and Microsoft Office (Word and Excel).
  • Demonstrate knowledge of CPT and HCPCS coding applications.
  • Excellent verbal communication using correct terminology.
  • Must complete required e-learning courses within 90 days of start.

Responsibilities

  • Obtain insurance coverage information and demographics and educate patients on coverage, benefits, co-pays, deductibles, and out-of-pocket expenses.
  • Prepare Patient Cost Estimate form based on diagnosis and coverage.
  • Complete reimbursement and liability forms for patient review.
  • Forward information to billing office.
  • Review patient balance and notify front desk to meet with patients.
  • Ensure correct entry of patient co-pays in the system.
  • Provide coverage and assist with payment posting and daily batch reconciliation.
  • Provide in-person coverage for other financial counselors as needed.
  • Maintain confidentiality per HIPAA and other laws.
  • Maintain updated manuals and forms; perform other duties.

Overview

Financial Counselor


The Willamette Valley Cancer Institute and Research Center is looking for a back office Financial Counselor to join our team! As a back office Financial Counselor, you will be tasked with assisting patients in understanding their insurance coverage of treatments. By collecting demographic and insurance information, you will review benefits and coverage details, helping patients understand what to expect in terms of out-of-pocket expenses. You will also assist our cash posting team with payment posting and daily deposits. Previous experience working with medical insurance is required, along with a compassionate heart for service. Come be an advocate and guide for our patients! This role will also support and adhere to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


The general pay scale for this position at WVCI is $19 - $40.54. The actual hiring rate is dependent on many factors, including but not limited to: prior work experience, education, job/position responsibilities, location, work performance, etc.

Responsibilities


  • Prior to a patient receiving treatment; obtains insurance coverage information and demographics; educates patient on insurance coverage, benefits, co-pays, deductibles, and out-of-pocket expenses.

  • Based upon diagnosis, estimated insurance coverage, and financial assistance, completes Patient Cost Estimate form.

  • Completes appropriate reimbursement and liability forms for patient's review and signature.

  • Forwards appropriate information and forms to billing office.

  • Review patient account balance and notify front desk of patients to meet with.

  • Ensure that patient co-pay amount is correctly entered into system (or conveyed), allowing front desk to collect appropriately.

  • Provides coverage and assists with payment posting and daily batch reconciliation for cash posting team.

  • Provides in person coverage, as needed, for our patient facing financial counselors.

  • Adheres to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient's records.

  • Maintains updated manuals, logs, forms, and documentation. Performs additional duties as requested.

  • Other duties as requested or assigned.


Qualifications


  • High school diploma or equivalent required.

  • Minimum one (1) year medical office, insurance verification/claims/billing experience required.

  • Proficiency with computer systems and Microsoft Office (Word and Excel) required.

  • Demonstrate knowledge of CPT coding and HCPS coding application.

  • Must be able to verbally communicate clearly and utilize the appropriate and correct terminology.

  • Must successfully complete required e-learning courses within 90 days of occupying position.

Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.


WORK ENVIRONMENT:
The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations and other conditions common to an oncology/hematology clinic environment. Work will involve in-person interaction with co-workers and management and/or clients. Work may require minimal travel by automobile to office sites.
