Westcliff University is seeking a Supervisor of Financial Aid to lead the student‑facing and back‑office teams. You will deliver exceptional service, oversee aid processing, and ensure compliance with federal/state regulations while guiding staff development and workflow improvements.

You will report to the Director of Financial Aid and collaborate with multiple departments to meet enrollment, retention, and degree completion goals.

Qualifications

  • Bachelor’s degree required.
  • A minimum of 3 years of experience in financial aid; previous team management or mentoring experience required.
  • Comprehensive knowledge of federal and state financial aid regulations, including Title IV.
  • Strong leadership qualities with the ability to mentor, inspire, and influence team members.
  • Exceptional oral and written communication skills with diverse constituents.
  • Ability to manage multiple projects and meet deadlines.

Responsibilities

  • Serve as a key contact for students, parents, and campus constituents, providing clear information about financial aid policies and FAFSA/Title IV.
  • Mentor and develop the Student Facing Financial Aid Advisors and Back Office Advisors to enhance learning and job satisfaction.

As the supervisor of Financial Aid, you will play a vital role in supporting the strategic direction and daily operations of

our dynamic Financial Aid Office. Reporting to the Director of Financial Aid, your role will be focused on delivering

outstanding customer service and mentoring our dedicated team. You will assist in administering a comprehensive

financial aid program, ensuring compliance with federal, state, and institutional regulations while supporting our mission

for student enrollment, retention, and degree completion.

Essential Job Functions
Customer Service:
  • Serve as a key contact for students, parents, and campus constituents, providing clear and accurate information about financial aid policies, procedures, and regulations, including FAFSA and Title IV.
  • Foster student satisfaction through the provision of excellent customer service in all aspects of financial aid administration.
  • Respond to and resolve any inquiries, issues, or concerns in a timely and professional manner.
  • Assist students and parents with the financial aid application process, ensuring they have a comprehensive understanding of the different types of aid available, eligibility requirements, and the implications of different financial decisions.
Team Mentoring :
  • Manage the Student Facing Financial Aid Advisors and support the Back Office Advisors, helping to create an environment that promotes learning, growth, and job satisfaction.
  • Support the Director in the development and implementation of financial aid strategies and policies.
  • Provide regular training and development sessions to the team to ensure a comprehensive understanding of financial aid regulations, policies, and procedures.
  • Encourage and support the team in achieving their individual and collective goals, providing regular feedback and recognizing their contributions.
  • Complete Quality control for the student facing staff/department
  • Support the efficient operation of financial aid activities, including application processing, awarding, and disbursal of funds, ensuring compliance with all relevant regulations.
  • Assist with the management of the department's budget, contributing to the efficient allocation and utilization of
  • resources.
  • Collaborate with various University departments to streamline workflow processes and meet crucial deadlines.
  • Support in CAL Grant compliance, awarding, posting, reconciliations and refunds
  • Responsible for FWS tracking and compliance
  • Responsible for the student facing portion of audits, ensuring all required files and documents are pulled, pre-
  • auditing files, identifying any issues or concerns and sharing that information with the Director.
Key Relationships & Leaders
  • Athletics, Military, Back-Office, Finance, Registrar, Student Services, all campuses, Admissions, etc – Collaborate with all departments to streamline workflow processes, meet crucial deadlines, ensure compliance and assisting students

  • An understanding and acceptance of the principles and philosophies of our university, its programs, and requirements.
  • Proven ability to make independent decisions, contribute to a team, and foster a positive team dynamic.
  • Handles other projects and tasks as needed

SCO experience

CSAC/Cal Grant experience.

  • Amount of travel involved: 40%. Travel to different campuses weekly, occasional travel to conferences
