Duties and Responsibilities:

  • Perform monthly reconciliation of federal, state, and institutional financial aid programs between the Office of Financial Aid, Student Accounts, and Accounting.
  • Ensure funds disbursed through the student information system (SIS) match records in COD (Common Origination and Disbursement), G5, NSLDS, and other external systems.
  • Identify, research, and resolve discrepancies in financial aid awards, disbursements, and drawdowns.
  • Monitor awards to ensure compliance with federal and state regulations.
  • Maintain accurate audit trails and prepare reports for internal and external audits.
  • Serve as a liaison between the Office of Financial Aid, Student Accounts, Accounting, state and federal agencies regarding reconciliation processes.
  • Communicate with federal and state agencies as needed to resolve funding or reporting issues.
  • Provide guidance and training to financial aid staff on reconciliation policies and procedures.
  • Generate monthly, quarterly, and year-end reconciliation reports.
  • Maintain documentation of reconciliation processes for compliance and continuity.
  • Assist with reporting requirements to the Department of Education, state agencies, and accrediting bodies.
  • Monitor and update financial aid system records to ensure accuracy in student accounts.
  • Develop and recommend process improvements to increase efficiency and accuracy.
  • Ensure timely release of student aid refunds by coordinating reconciled funds with Student Accounts.
  • Support resolution of student account issues related to financial aid disbursements.
  • Assist in year-end closeout of federal and state programs.
  • Manage and reconcile Federal Work-Study program.
  • Assist with M. J. Foster awarding, processing, billing, and reconciliation.
  • Assist students with Financial Aid advising and processing.
  • Other duties assigned by the Director of Financial Aid.

Required Education:

  • Bachelor’s degree in Accounting, Finance, Business Administration, Higher Education, or a related field required.
  • Master’s degree preferred

Required Experience:

  • 2–4 years of experience in financial aid, accounting, student financial services, or related areas.
  • Direct experience with Title IV aid reconciliation and financial aid fund management is highly preferred.
  • Experience working with federal, state, and institutional financial aid programs.
  • Familiarity with audit processes and compliance requirements in a higher education setting.
  • In-depth understanding of federal and state financial aid regulations, particularly concerning reconciliation and disbursement.
  • Strong analytical and reconciliation skills; attention to detail is critical.
  • Ability to work with cross-functional departments such as Finance, Student Accounts, and Registrar’s Office.
  • Strong Excel skills (pivot tables, VLOOKUPs, etc.) and familiarity with financial reporting tools.
  • Excellent communication and organizational skills.
  • Ability to manage deadlines and complex processes with minimal supervision.
  • Commitment to confidentiality and data security standards.
