Position Summary
The Financial Aid Counselor plays a key role in supporting Olin College’s commitment to access, affordability, and student success through personalized financial counseling, administrative accuracy, and collaborative program support. This position requires strong attention to detail, sound judgment, and an audit-minded, proactive approach to financial aid processing and student communications.
As a member of the Office of Admission and Financial Aid (OAFA), the Counselor works with both prospective and current students to provide timely and clear information about financial aid options, maintain meticulous documentation, and ensure compliance with federal, state, and institutional policies. The Counselor also leads Olin’s Financial Wellness Program and supports broader enrollment and retention strategies through communications and campus outreach.
This position works closely with the Director of Financial Aid and other members of the OAFA team to ensure a high level of service, operational efficiency, and regulatory compliance in alignment with the College’s values of equity, inclusion, and student-centered learning.
This is an in-person/on-campus position based in Needham, MA, with possible flexible work options. Any approved remote work arrangement must be performed in the state of Massachusetts where Olin is registered to do business.
Interviewing for this position is anticipated for early August 2025.
Responsibilities
- Counsel applicants, students, and their families on available sources of financial assistance, eligibility requirements, and application procedures in a clear, supportive, and inclusive manner.
- Manage the intake and tracking of financial aid documentation and communications, including timely response to inquiries via the financial aid inbox and phone line.
- Coordinate the College’s comprehensive Financial Wellness Program for prospective and current students. Develop program content based on national best practices and in collaboration with campus partners.
- Develop, update, and maintain financial aid marketing and communication materials (website, publications, presentations). Partner with the Admission team on yield events and messaging.
- Support the Director of Financial Aid in determining aid eligibility and preparing aid offers. Additional responsibilities (e.g., verification, loan processing, federal aid compliance) may be assigned based on experience and training.
- Maintain accurate records in the Jenzabar J1 financial aid system and assist with data reporting, reconciliation, and documentation for audits and compliance reviews.
- Promote and uphold internal controls by ensuring accuracy of aid files, consistent adherence to procedures, and audit-readiness.
- Participate in recruitment and yield events to support institutional goals around access, affordability, and enrollment.
- May represent the Office of Admission and Financial Aid on College committees or collaborative initiatives.
- Serve as support and lead admissions info sessions and check-in; may also include assisting with front desk and reception duties, as needed.
- Support the execution of financial aid strategy in alignment with financial aid and admissions goals, contributing to an integrated approach to enrollment management.
- As part of an evolving office, this position requires flexibility and a willingness to contribute to strategic planning and implementation efforts as needed.
- Provide staff coverage for other on-campus programs and events, such as Candidates’ Weekend, Mix & Mingle and Future Oliners’ Homecoming (FOH).
- Participate in application reading as part of the admissions review process, working collaboratively with the Admissions team.
- Perform other duties as assigned by the Director of Financial Aid and the Dean of Admission and Financial Aid in support of institutional and office-wide priorities.
Experience And Qualifications
- Bachelor’s degree required.
- 1–3 years of experience in financial aid, student services, higher education, or a related administrative role preferred.
- Proven attention to detail, with a strong ability to track and verify information, resolve discrepancies, and document all actions accurately.
- Demonstrated ability to follow and apply federal, state, and institutional regulations and procedures.
- Strong analytical and organizational skills; ability to manage multiple responsibilities and maintain prioritization in a deadline-driven environment.
- Exceptional interpersonal and customer service skills; ability to communicate clearly and empathetically with students and families from diverse backgrounds.
- Proficiency with Microsoft Office Suite and comfort learning new technologies; experience with Jenzabar J1 or similar student information systems is preferred.
