Qualifications

  • Bachelor’s degree required; equivalents may include 1–2 years in customer service, higher education administration, or banking/finance.
  • Ability to read/interpret complex documents (government regulations) and write routine reports.
  • Strong math/data-analysis skills; comfortable with financial figures and budgets.
  • Proficiency with common software; ability to quickly learn institutional databases and SIS systems.

Responsibilities

  • Provide high-quality, welcoming service to students, parents, and DePauw University community.
  • Advise students and families regarding financial aid eligibility, FAFSA procedures, packaging policies, costs, and billing.
  • Maintain secure, confidential student aid records per privacy regulations.
  • Process and verify financial aid materials, tax documents, and related forms accurately.
  • Learn and ensure compliance with federal, state, and institutional financial aid regulations.
  • Assist in developing informational materials and conducting informational sessions on financial aid.

The Office of Financial Aid is seeking a dedicated,detail-oriented, and customer-focused Financial Aid Counselor tojoin our team. This entry-level position plays a crucial role insupporting students and families through their academic journey byguiding them through the financial aid application, evaluation, andfinancing processes. Excellent communication skills, outstandingstudent service, a strong attention to detail, and a willingness tolearn and adhere to federal, state, and institutional regulationsare required.

Essential Functions Statement(s)
  • Customer Service: Provides high-quality, welcomingservice to all students, parents, and members of the DePauwUniversity community. This includes handling phone calls, emails,and in-person inquiries.
  • Advising & Counseling: Assists and advises studentsand parents regarding financial aid eligibility, applicationprocedures (FAFSA), aid programs, packaging policies, costs, andthe university billing process.
  • Records Management: Maintains accurate, secure, andconfidential records of student financial aid information incompliance with privacy regulations.
  • Document Processing: Processes and verifies financialaid materials, tax documents, and related verification formsaccurately and timely.
  • Compliance: Learns, interprets, and ensures compliancewith all federal, state, and institutional regulations regardingfinancial aid administration.
  • Outreach & Presentation: Assists in developing basicinformational materials and conducts informational sessions orworkshops on financial aid for students and families.
  • Admissions Collaboration: Collaborates with the Officeof Admission to help recruit new students and meet enrollment goalsthrough relationship building and timely communication regardingfinancial aid packages.
  • Other duties as assigned.

Requirements
  • Education/Experience: A Bachelor’s degree required.(Equivalents include 1–2 years of foundational experience incustomer service, higher education administration, orbanking/finance).
  • Communication/Language: Ability to read and interpretcomplex documents (such as government regulations). Ability towrite routine reports and correspondence. Ability to speakeffectively and confidently with students, parents, andpeers.
  • Quantitative Ability: Basic mathematical and dataanalysis skills; comfort working with financial figures andbudgets.
  • Computer Skills: Technical proficiency with computerapplications, including Google Workspace and Microsoft Office(specifically Excel). Ability to quickly learn institutionaldatabase systems; prior experience with student information systems(e.g., Workday or PowerFAIDS) is a plus but not required.
