A leading education organization in Chicago is seeking a Financial Aid Advisor and Operations Specialist to support students with financial aid and scholarships. Summary of Position:
The Financial Aid Department supports all IES Abroad students with financial aid and scholarships. This includes processing financial aid applications, awarding scholarships, and increasing financial literacy around study abroad funding for students. Supporting students with financial aid also includes the collecting, organizing, and clarifying of data and information throughout the pre-departure process, so that it is clear, informative, and adds value to the study abroad experience.
Essential Job Responsibilities and Duties:
Process financial aid applications in a timely and accurate manner
Process student stipend and scholarship reimbursement forms through the forms management and client relations management systems
Provide friendly, accurate, and prompt financial aid support to IES Abroad students, parents, and education institution staff through written and verbal (phone) communications
Manage student interactions in client relations management system in a timely manner and maintain excellent records of all communications
Process consortium agreement forms in a timely and accurate manner; manage consortium agreement and scholarship inboxes
Maintain student financial aid data in database and client relations management system
Support the testing and validation of new financial aid system functionalities during the system rebuild and implementation phases; participate in user acceptance testing (UAT) by running test cases and reporting discrepancies or bugs
Train on new systems and assist in creating updated user guides and job aids for internal and external stakeholders
Participate in financial aid workshops, orientation sessions, or outreach events on-campus at consortium institutions
Serve as a contact in Financial Aid Department providing exceptional service to students, university coordinators, and internal departments
Maintain orderly and confidential filing systems and record keeping
Take on special projects, other duties, and tasks as assigned
Regular and predictable attendance is essential for this position
Experience and Qualifications and Skills:
Minimum two year data entry or administrative experience
Database literacy with extensive computer knowledge of Microsoft Office and Excel
Ability to organize and prioritize multiple projects simultaneously and to meet deadlines
Strong written and verbal communications skills
Ability to manage and maintain high call volume
Strong interpersonal communication skills and customer focus
Strong attention to detail with the capacity to maintain accurate records
Ability to cooperate with all stakeholders
Takes responsibility for actions, results, and mistakes
Ability to exercise sound judgment when handling variety of issues
Strong problem-solving skills
Strong self-direction and initiative skills
Act in professional manner at all times
Ability to be flexible and adaptable in a changing environment

Education Licenses and/or Certifications, etc.:
Bachelor’s degree or equivalent work experience
Hiring Salary Range:
$58,000 - $$60,000
