Job Overview

We are seeking an experienced and analytical Financial Manager to join our finance department. The Financial Manager will play a critical role in maintaining the financial health of the organization by managing bookkeeping, payroll, accounts payable and receivable, financial planning, and tax management.

Key Responsibilities

Bookkeeper

  • Accurately record all financial transactions, including income, expenses, and payments, in the appropriate accounting systems and ledgers.
  • Update and maintain the general ledger by posting and reconciling entries, ensuring that all accounts are balanced and accurate.
  • Reconcile bank statements with the company’s financial records to identify discrepancies and ensure account balances are correct.
  • Prepare monthly, quarterly, and annual financial reports.
  • Reconcile bank statements and ensure discrepancies are identified and resolved.
  • Help maintain and update financial databases and spreadsheets.

Payroll

  • Administer and process company payrolls accurately and on time, including regular, bonus, and off-cycle payments.
  • Maintain and update payroll information for all employees, including changes in pay, deductions, and benefits.
  • Ensure compliance with all federal, state, and local payroll tax laws and regulations.
  • Prepare and file required tax documents, including tax reports, W-2s, and 1099s.
  • Reconcile payroll accounts and resolve any discrepancies in a timely manner.
  • Manage employee and contractors inquiries regarding payroll, deductions, and benefits, providing clear and accurate information.
  • Develop and maintain payroll policies and procedures to improve efficiency and compliance.

Accounts Payable

  • Process invoices, payments, and expenses with precision and in a timely manner.
  • Review and verify invoices for accuracy, appropriate approval, and completeness of supporting documents.
  • Code and enter invoices into the accounting system for payment.
  • Schedule and prepare payments (checks, electronic transfers, ACH payments, etc.) to vendors and suppliers.
  • Review and process employee expense reports, ensuring compliance with company policies and proper documentation.
  • Perform monthly closing processes, including reconciling accounts payable sub-ledger to the general ledger.
  • Stay updated on applicable tax regulations and ensure compliance with reporting requirements, such as 1099 filings.

Accounts Receivable

  • Prepare and issue invoices to customers or clients promptly after the delivery of goods or services.
  • Monitor customer accounts to track payments and outstanding balances.
  • Follow up on overdue accounts by communicating with customers regarding payment terms and collection arrangements.
  • Record and apply incoming payments (checks, electronic transfers, credit card payments) accurately to respective accounts.
  • Analyze accounts receivable aging reports to identify overdue accounts and determine collection strategies.
  • Work closely with the sales and customer service teams to address client issues and account discrepancies.

Financial Strategy

  • Assist in the development of annual budgets and financial forecasts.
  • Liaise with other departments to ensure efficient financial operations and resolve queries.
  • Track cash flow to ensure the organization is managing its resources effectively and is able to meet financial obligations.

Financial Regulations

  • Ensure compliance with financial policies, procedures, and regulations.

Department Strategy:

  • Regularly assess department performance, identify bottlenecks, and recommend scalable improvements
  • Forecast department needs as the company grows and evolve the service offerings accordingly
Qualifications:
  • Bachelor’s degree in Finance, Accounting, or a related field (MBA or CPA/CMA preferred)
  • 5+ years of experience in financial management or similar role
  • Strong understanding of financial principles, budgeting, and analysis
  • Proficient in QuickBooks Online
  • Exceptional analytical, organizational, and communication skills
  • Proven ability to lead a team and drive results
