Job summary

Sharing Excess is seeking a Finance Associate to join our Finance team in Philadelphia. This full-time, hybrid role supports day-to-day financial recordkeeping, AP/AR, reconciliations, and near-term close activities to keep pace with our fast-growing food rescue operations.

You'll work with the Finance Manager and collaborate with Operations and Distribution teams, bringing strong Excel/QuickBooks skills and meticulous data accuracy to ensure transparent reporting and compliant funder reporting.

Qualifications

• Bachelor’s degree in accounting, finance, business, or related field or equivalent experience.
• 1 year of experience in finance, accounting, or bookkeeping.
• Proficiency with QuickBooks Online or similar accounting software.
• Strong experience with Excel or Google Sheets (formulas, pivot tables, lookups).
• Exceptional attention to detail and data accuracy.

Responsibilities

• Process accounts payable and accounts receivable within accounting software.
• Record and reconcile bank and credit card transactions to maintain real-time records.
• Assist with monthly and annual financial close processes.
• Reconcile logistics data with financial invoices.
• Match transportation invoices with load records and resolve discrepancies with operations.
• Generate and distribute partner invoices for services and deliveries.
• Monitor aging reports and follow up on overdue accounts.
• Track restricted grant expenditures and maintain grant reporting documentation.
• Maintain organized digital financial files for audit readiness.
• Serve as a point of contact for internal finance questions from operations teams.

Role Highlight

The Finance Associate provides critical financial and administrative support that helps ensure the fiscal integrity and operational efficiency of Sharing Excess. This role manages the day-to-day financial recordkeeping required to support the organization’s rapidly growing food rescue operations. By maintaining accurate accounts payable/receivable records, reconciling operational data, and supporting funder compliance, this role enables leadership to make data-driven decisions and ensures transparency for donors, partners, and community organizations.

You’ll Have

• Bachelor’s degree in accounting, finance, business, or a related field, or equivalent experience.
• 1 years of experience in finance, accounting, or bookkeeping.
• Proficiency with QuickBooks Online or similar accounting software.

It’s Amazing If You Also Have

• Experience working in a nonprofit organization.
• Exposure to logistics, operations, or supply chain environments.
• Familiarity with grant tracking or restricted fund reporting.

Salary Range

$26 – $30 per hour
