We operate with a survivor-centered, trauma-informed approach — and we're looking for a passionate Finance and Grants Specialist to join our team. The Finance and Grants Specialist is responsible for the comprehensive financial management and regulatory compliance of government-funded grants. This role ensures accurate budgeting, timely invoicing, and full compliance with all federal, state, county, and city grant requirements, including OMB Uniform Guidance. Serving as the primary resource for both fiscal and programmatic compliance matters, the Finance and Grants Specialist works closely with Program leadership, Development and Grants staff, Operations, and external finance partners to support audit readiness, funder reporting, subrecipient monitoring, and responsible stewardship of public funds. The position also manages day-to-day transactional accounting, including accounts payable, non-grant accounts receivable, payroll processing, and timekeeping administration, ensuring accurate records and timely processing.

What You’ll Do
Grant Budget Management
  • Develop, maintain, and monitor government grant budgets.
  • Conduct regular budget reviews to support invoicing and budget modifications.
  • Assist with payroll allocations to ensure personnel costs align with approved grant budgets.
Grant Invoicing and Reimbursement
  • Prepare, review, and submit timely, accurate government grant reimbursement invoices, ensuring complete supporting documentation, including payroll allocations, invoices, receipts, contracts, and cost allocations.
  • Track invoice submissions, payments, and grant receivables to support organizational cash flow.
  • Coordinate with internal staff and funders to resolve invoicing questions and discrepancies.
Compliance, Reporting, and Audit Support
  • Conduct routine compliance reviews and maintain complete, organized grant records in accordance with retention requirements.
  • Prepare and review financial reports and supporting documentation for internal and external stakeholders.
  • Advise program staff on allowable costs, spending restrictions, and reimbursement requirements.
Procurement
  • Oversee purchasing policies and ensure compliance with applicable federal laws and OMB Uniform Guidance.
  • Advise stakeholders and departments on procurement matters, including researching, evaluating, and recommending contractors and subrecipients.
Subrecipient Monitoring
  • Establish and maintain subrecipient monitoring procedures consistent with federal and other applicable regulations and sound business practices.
  • Monitor compliance with regulatory requirements and subrecipient agreements through site visits, audits, and other appropriate methods.
  • Guide regulatory requirements and award terms, and recommend corrective actions to resolve compliance concerns.
Nonprofit Governance and Administration
  • Assure nonprofit governance requirements of Board Bylaws are met, including organizing meetings, maintaining required correspondence and mandatory registrations, and ensuring required records are retained.
Cross-Functional Collaboration
  • Work closely with Program, Development, and Operations teams to ensure grant expenditures align with approved program activities.
  • Partner with external finance partners, including outsourced accounting firms and auditors, to support accurate grant accounting.
  • Communicate with internal and external stakeholders, including program directors and funding agencies, to ensure budget alignment and timely modifications.
Transactional Accounting, Payroll, and Timekeeping
  • Record deposits and credits, process donations and other non-grant receivables, maintain supporting deposit records, and lead reconciliation of receivable activity.
  • Verify appropriate payment documentation and approvals; coordinate payment timing, exceptions, and discrepancies with the Director of Operations.
  • Lead payroll processing and prepare payroll journal entries for posting to the accounting system.
What We’re Looking For
  • Bachelor's degree in a related field, or applicable experience in nonprofit governance, administration, grants management, and compliance.
  • Minimum of 5 years of progressive experience in federal grant management, including procurement and subrecipient monitoring.
  • Demonstrated experience with government grant budgeting, invoicing, and reimbursement-based funding.

  • Close attention to detail with strong organizational, time-management, and interpersonal skills.
  • Proficiency with accounting and financial systems (including QuickBooks and BILL.com), HR/timekeeping systems (such as BambooHR), and Microsoft Office Suite, including Excel and Word.
Preferred
  • Experience with SAVE, VOCA, HUD, or other federal, state, or local government funding streams.
