Job summary

RailPros is seeking a Field Operations Coordinator I to support the Business Operations Manager, Supervisors, Field Managers, and Field Staff across the U.S. The role involves coordinating documents, contracts, rates, scheduling, and extensive communication with railroads for planned field projects.

Within 6–12 months, proficiency in at least one railroad property is expected; some travel within 50 miles of the office may be required.

Qualifications

  • A high school diploma or equivalent required.
  • Two years of administrative and/or project management experience preferred.
  • Excellent customer service skills and ability to work independently.
  • Discretion in handling confidential information is required.
  • Detail oriented and adaptable with strong collaboration.
  • Good communication skills and ability to work in a team.
  • Intermediate technical skills and willingness to learn new tools.
  • Flexibility in changing priorities and tasks.

Responsibilities

  • Coordinates permits and license requirements with railroads before any construction or work on railroad property.
  • Coordinates closely with the customer to ensure all paperwork is completed accurately.
  • Anticipates and resolves issues, taking steps to manage conflicts.
  • Creates and edits documents using Microsoft Excel, Microsoft Word, and Adobe Acrobat PDF.
  • Maintains clear, proactive communication with customers via email and phone.
  • Manages multiple customers daily with strong organizational skills.
  • Very little travel is required, within 50 miles of the office.
  • Contributes to a positive, inclusive, and respectful workplace culture and adheres to company values.
  • Upholds integrity, accountability, and respect in all duties and interactions.
  • Adheres to all company policies, procedures, and applicable laws; performs other duties as assigned.

Job Summary

The Field Operations Coordinator I position provides essential support for the Business Operations Manager, Supervisors, Field Managers, and Field Staff. This role coordinates activities for clients across the U.S., including document verification, execution of contracts, supplying rates, scheduling, and extensive communication with railroads for planned projects in the field.

As referenced in the Field Operations Coordinator Plan: Within 6 to 12 months, the Field Operations Coordinator must be proficient in at least one railroad property.

Essential Duties & Responsibilities
  • Works with railroads to ensure all permits and license requirements are met before any construction/work occurs on or near railroad property
  • Coordinates closely with the customer to ensure all paperwork is completed accurately
  • Actively anticipates, identifies, and resolves issues, initiating steps to manage any conflicts
  • Creates and edits documents using Microsoft Excel, Microsoft Word, and Adobe Acrobat PDF
  • Expertly utilizes email and verbal communication with customers
  • Strong organizational skills to manage numerous customers daily
  • Answers diverse phone calls with excellent customer service skills
  • Very little travel is expected for this position, and all travel would be close to the office (within 50 miles). Some examples of travel would be to take a piece of equipment to the field when that would be faster than shipping the equipment or going to the Post Office/FedEx
