Fellowship Program Administrator & Associate Residency Program Administrator
The Department of Anesthesiology’s education office is a fast-paced, collaborative hub serving medical students, residents, fellows, and the faculty who champion them. The Fellowship Program Administrator provides comprehensive, high-level management and support for four robust anesthesiology fellowship programs. As an Associate Residency Program Administrator, this role provides essential support to the anesthesiology residency program. The ideal candidate thrives in a dynamic work environment, is highly organized, and takes initiative to navigate complex accreditation requirements while providing exceptional operational support to both faculty and learners. Using clear and warm communication, the candidate will interact with a variety of stakeholders to support anesthesiology learners. This is a hybrid position, with 3 days on site and 2 days available for remote work per week. This role requires event support outside of normal working hours approximately 1-2 times per month. This position reports to the Associate Education Manager in the Department of Anesthesiology and works closely with the education faculty and team.

Major Responsibilities:

  • 65% - Fellowship Program Administration
  • ● Ensures compliance with all institutional, ACGME, ABA, and program requirements, often using time management skills to flexibly prioritize their work.
  • ● Facilitates continuous program improvement by attending meetings as a key program partner, tracking major changes, and implementing action steps in response to annual ACGME survey results and internal reviews.
  • ● Provides administrative support to the Program Directors by planning didactic sessions, maintaining records, supporting clinical scheduling, and ensuring policies are updated and communicated to all relevant stakeholders.
  • ● Manages the recruitment of quality fellows by overseeing the application review process, scheduling interview sessions, communicating with applicants, and supporting data organization for the Rank Order Lists.
  • ● Provides support to the fellows by organizing program orientation, monitoring the successful completion of program requirements, and supporting the navigation of multiple systems and sites.
  • ● Collaborates closely with the Associate Education Manager and education leadership to align fellowship practices with departmental goals.

35% - Associate Residency Program Administrator

  • ● Provides core operations support, serving as a dependable and highly reliable member of the education team. As part of this work, provides consistent and collaborative office support.
  • ● Shares responsibility for staffing education events, including occasional hours outside of normal working hours (approximately 1-2 times per month).
  • ● Provides administrative support to the Program Director and Residency Program Administrator by managing rotations, facilitating resident and faculty evaluations, and running the intern year of the program.
  • ● Manages anesthesia rotations for non-anesthesia residents and fellows.
  • ● Assists the Associate Education Manager and education faculty with evolving education tasks and strategic projects, as needed.
Qualifications

Required Qualifications: (must be documented on all application materials):

  • ● Education/experience: BA/BS degree, or a combination of related education and work experience totaling four years.
  • ● Technical proficiency: demonstrated ability to use Google Workspace (Drive, Gmail, and Calendar) for organizational and collaborative work.
  • ● Problem-solving and initiative: proven ability to take initiative, utilize resources, and problem-solve independently.
  • ● Workflow management: excellent multitasking and prioritization skills with a track record of meeting strict deadlines and ensuring accurate and timely task completion.
  • ● Communication and collaboration: strong interpersonal skills, with the ability to communicate professionally, both written and verbal, within a fast-paced, growth-orientated environment.
  • ● Flexibility: ability to work occasional hours outside of the standard work day for event support, with advance notice.

  • ● A genuine desire to support learners at various educational levels.
  • ● Prior experience working within a healthcare or educational setting.
  • ● A technology-forward mindset with enthusiasm for leveraging technology to improve processes.
  • ● Direct training in or knowledge of institutional and ACGME systems, policies, and procedures.
Pay and Benefits

Pay Range: $28.95 - $34.07/hr; depending on education/qualifications/experience

Time Appointment: 100% Appointment

Position Type: Civil-Service & Non-Faculty Labor Represented Staff
