Job summary

Georgia Tech in Atlanta seeks an experienced administrative and financial support professional to assist assigned faculty and their research group. You will interact with faculty, staff, and sponsors to ensure efficient operations.

Responsibilities include coordinating proposals, purchasing, hiring processes, and coordinating meetings, travel, and events; maintaining calendars and CVs; and ensuring policy compliance. This is a collaborative role within the Woodruff School.

Qualifications

  • Bachelor's Degree or an equivalent combination of education and experience.
  • Five to seven years of job related experience.
  • Experience supporting faculty or research groups preferred.

Responsibilities

  • Coordinate proposal preparation and submission (data collection, tracking of statistical information, routing, editing).
  • Compile information, confer with appropriate staff and prepare drafts of correspondence and reports.
  • Process check requests including support documentation. Coordinate monthly purchases statement reconciliation. Enter purchase orders through accounting system.
  • Assist PI's regarding interpretation and application of administrative policies and procedures.
  • Liaise with financial office in coordinating oversight of sponsored project activity.
  • Coordinate hiring process for assigned group by assembling personnel forms and arranging transportation and accommodation for new employees.
  • Coordinate and participate in visits, meetings, seminars and video conferences.
  • Maintain faculty calendars. Prepare and update faculty CVs and bio-sketches; update faculty members' database.
  • Perform other duties as assigned.

Department Information

The Woodruff School graduates high-caliber mechanical engineers for a demanding profession. Mechanical engineers are the foundation of today's technological world. To do so, we provide enhanced facilities and laboratories to create the best learning environment, and we attract outstanding faculty and students. In this period of rapid technological change, the Woodruff School produces mechanical engineers who are vital to our future.

With approximately 3,000 students, 100 faculty members, and 80 staff members, the Woodruff School is one of the largest mechanical engineering programs in the country. Job Summary

Perform and coordinate administrative and financial support activities required by assigned faculty member(s) and associated research group(s). This position will interact on a consistent basis with: assigned faculty, research group staff and sponsors. This position typically will advise and counsel: research group staff. This position will supervise: NA.

Included are skills in financial record keeping, report writing, communications and customer service. Use of office and specialized computer applications and systems is required.
