Job description

Supervises and coordinates the day-to-day operations of the office and its associated equipment.

  1. Receive visitors, colleagues, vendors, maintenance personnel, etc., for the office.
  2. Oversee office maintenance, property janitorial, and maintenance staff, including coordination with landlords.
  3. Manage daily office activities such as ordering supplies, scheduling maintenance of office equipment, and tracking visitors.
  4. Maintain calendars, schedule meetings and appointments, prepare agendas and presentation materials, and take meeting minutes.
  5. Handle kitchen maintenance, including inventory management, coffee machine upkeep, and dishwashing.
  6. Manage car and fleet maintenance, including registration, fueling, servicing, and scheduling.
  7. Resolve customer service inquiries within scope of authority and provide assistance to external agencies.
  8. Manage vendors and review/process purchase orders for accuracy and approval.
  9. Prepare meeting rooms and handle mail and courier services.
  10. Manage building security, including badges, keys, and security paperwork.
  11. Conduct COVID temperature testing and other safety procedures.
  12. Serve as the local safety representative for the Americas Office.
  13. Act as the local IT technician for telecommunication, video equipment, and hardware issues.
  14. Perform other projects as needed.
  15. Prepare eProcure requisitions for various departments within the Americas Regional Office and the US, including invoice reconciliation and payment processing.

Qualifications: Good interpersonal skills required. High school diploma or equivalent; 2-4 years of related experience preferred. Ability to operate basic facility equipment and perform housekeeping functions. Must pass background checks, clearances, and drug tests as required.
