Job summary

Qualifications

Responsibilities

  • Assists the Facilities Services Department to provide organized facilities support.

  • Maintains communications and supports district mission, vision, and goals.
  • Generates reports and coordinates information between staff and campuses.
  • Assists with processing work orders, purchase orders, requisitions, and budgets/expenditures.

PRIMARY PURPOSE:

? To serve as clerk to the Executive Director of Facility Services supporting departments under the Facility Services Department

QUALIFICATIONS:
  • ? High School graduate or GED equivalent from an accredited institution (required)
EXPERIENCE:
  • ? Two years of general business/bookkeeping/clerical, or secretarial experience
SPECIAL KNOWLEDGE AND SKILLS:
  • ? Strong verbal and written communication
  • ? General clerical skills: telephone, keyboarding, filing, data entry
  • ? Strong organizational skills
  • ? Effective and positive interpersonal and communication skills
  • ? Proficient in the use of Microsoft Office Suite and Google applications
  • ? Bilingual (preferred)
MAJOR RESPONSIBILITIES AND DUTIES:
INSTRUCTIONAL MANAGEMENT
  • ? Assists the Facilities Services Department to provide world‑class facilities to enhance instruction
SCHOOL/ORGANIZATION CLIMATE
  • ? Models behavior that promotes a positive organizational climate
  • ? Provides assistance in organization of facility‑related tasks
  • ? Assists in advancing the mission, vision, goals, and strategic plan for the district
  • ? Provides effective communication with staff and school personnel
SCHOOL/ORGANIZATION IMPROVEMENT
  • ? Generates communication and reporting necessary to improve facility maintenance and operations
  • ? Maintains an effective system of communication among department staff and individual school staff members
ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT
  • ? Serves as facility receptionist
  • ? Answers the telephone and directs inquiries or records messages appropriately
  • ? Processes work orders and runs reports through work order system
  • ? Inputs purchase orders and requisitions, tracks purchases, and generates reports on budgets and expenditures
  • ? Manages, maintains, and distributes information as requested by the Executive Director, Director, Manager or Supervisor
  • ? Performs data entry and supports proper timekeeping records
  • ? Assists with coordinating equipment and support for all department staff
  • ? Assists in processing recommended applicants
  • ? Assists in other departmental reception, secretarial, and clerical support as needed
  • ? Additional responsibilities, as needed, to advance the facilities program
  • ? Provides support to campuses, Facility Services staff, and other department leadership to address departmental functions
  • ? Assists potential applicants with the application process
STUDENT MANAGEMENT
  • ? Assists in organization of facilities to meet the needs of the school district
SCHOOL/COMMUNITY RELATIONS
  • ? Maintains a working knowledge of district policies, procedures, and practices
  • ? Helps facilitate communication and coordination with campuses
  • ? Provides support during meetings with departmental, campus, and administrative staff
PROFESSIONAL GROWTH AND DEVELOPMENT
  • ? Seeks, accepts, and responds to evaluative feedback from subordinates, peers, and supervisors
  • ? Assumes personal responsibility for enhancing competencies through staff development
  • ? Exhibits good judgment and logical thinking
  • ? Continually improves and updates knowledge of the District's facilities and operations
  • ? Adheres to professional channels of communication
