Job summary

The University of New Hampshire in Durham is seeking a Facilities Scheduling Coordinator within Campus Recreation to maximize facility use, meet client needs, and ensure safe, successful events.

You will lead scheduling, coordinate requests, prepare estimates and rental agreements, manage invoicing and insurance, and support event staff. A flexible schedule including nights, weekends, and holidays is required; an associate degree is preferred or 1–3 years in facility management.

Responsibilities

  • Lead scheduling of Campus Recreation facilities (90%).
  • Coordinate requests, confirmations, changes, and invoicing for external groups.
  • Create estimates and rental agreements; track insurance and signatures.
  • Coordinate with colleagues to provide hourly staff for external renters.
  • Attend select events to ensure successful outcomes.

Job description

As a professional within the Campus Recreation Department, this position fills an important role to ensure the facility schedules are maximized, ensure client needs are met, and event logistics are fulfilled to host successful events that provide a safe, positive experience for guests.Duties/ResponsibilitiesLead for scheduling all facilities managed by Campus Recreation (90%):Coordinate facility schedule process from receiving requests, accommodating requests, deciding when to confirm requests, and making changes to reservations as requested.Utilize effective customer service techniques when responding to requests.Create estimates and agreements to external rental groups.Track agreement process including renter’s insurance and signatures.Create, track and maintain accurate invoices to each group in timely manner.Coordinate with colleagues to provide hourly staff for external groups who rent facilities.Ensure cooperative relationships between various user groups, departments and agencies.Facilitate regular meetings with stakeholders.Attend select events to ensure events are successful.Other duties as assigned as necessitated by the Division of Student Life.Administrative duties (10%):Manage use of resources including funding, personnel, facilities, and time.Serve on Campus Recreation and university committees.Participate in professional development opportunities to remain in the forefront of the field.Assist Associate Director with projects as requested.RequirementsMinimum Acceptable Education & Experience:Associates degree preferred or 1-3 years of relevant experience in facility management.Collaboration skills with various student, faculty, staff, alumni, and external groups.Demonstrated effective communication skills, both written and verbal.Demonstrated effective use of software.Must be able to work flexible hours, including nights, weekends, and holidays.Must have valid driver license and/or qualify to drive university vehicles.Applicant Instructions:Applicants should be prepared to upload the following documents when applying online within the My Experience: Resume/CV section of the application: (Maximum of 5 Documents)Resume/CVCover LetterApplications that are missing any of the required items may not move forward for consideration.
