ROLE SUMMARY

The Facility Manager will provide overall administrative and operational support for ON.energy's new Houston facility, including a modern office, high-power engineering laboratories, warehouses, and associated site infrastructure. This individual will be responsible for ensuring the facility operates efficiently, safely, and professionally while supporting the needs of employees, customers, contractors, and visitors.

The ideal candidate is highly organized, proactive, service-oriented, and comfortable managing a wide variety of operational responsibilities in a fast-growing technology company. This role combines facility administration, maintenance coordination, logistics support, event planning, workplace readiness, and general business operations support.

WHAT SUCCESS LOOKS LIKE

In the first year, the Facility Manager will establish a structured and scalable operating model for the Houston facility. This includes improving visibility and control of facility expenses, maintenance activities, vendor performance, workplace readiness, and logistics operations.

Success will be measured by creating a safe, professional, efficient, and highly responsive environment that supports ON.energy's continued growth.

KEY RESPONSIBILITIES
Facility Administration and Operations
  • Serve as the primary point of contact for Houston facility operations and workplace services.
  • Maintain a professional, organized, and efficient office, laboratory, warehouse, and shared work environment.
  • Coordinate office moves, workstation assignments, supplies, furniture, and workplace improvements.
  • Maintain facility records, permits, inspections, and operational documentation.
Financial and Administrative Support
  • Coordinate facility-related bills, invoices, utilities, purchase requests, and vendor payments.
  • Assist with budget tracking, operating expense management, and spend visibility.
  • Obtain quotes from vendors and contractors for facility services and improvement projects.
  • Track contract renewals, service agreements, and recurring operational expenses.
  • Support facility-related insurance, tax, permit, and lease administration activities.
Contractor and Maintenance Coordination
  • Coordinate preventative maintenance activities across the facility.
  • Manage repairs involving HVAC, electrical systems, plumbing, lighting, building infrastructure, and security systems.
  • Schedule and coordinate contractors, service providers, and installation teams.
  • Track maintenance issues and ensure timely resolution.
  • Manage vendors supporting janitorial services, security, waste management, pest control, landscaping, utilities, and facility maintenance.
  • Monitor vendor performance and service quality.
  • Maintain positive working relationships with suppliers and service providers.
  • Support vendor onboarding, documentation, and compliance requirements.
Logistics and Operational Support
  • Coordinate inbound and outbound shipments for equipment, laboratory assets, materials, and office supplies.
  • Support receiving, staging, storage, and shipment tracking activities.
  • Coordinate freight providers, carriers, and delivery schedules.
  • Assist engineering, operations, and supply chain teams with facility logistics requirements.
Event Planning and Workplace Services
  • Coordinate employee events, customer visits, executive meetings, workshops, and company gatherings.
  • Manage catering, visitor logistics, conference room readiness, and event support activities.
  • Ensure common areas, conference rooms, kitchens, and visitor spaces are professional and welcoming.
  • Support customer demonstrations, site tours, and special events.
Safety and Security
  • Support facility safety programs and workplace readiness initiatives.
  • Coordinate emergency response plans, signage, PPE availability, and safety documentation.
  • Administer facility access controls, badges, keys, and visitor management processes.
  • Coordinate with security providers and support incident reporting and corrective actions.
EXPERIENCE AND REQUIREMENTS
REQUIRED
  • 5+ years of experience in facilities management, office administration, site operations, property management, or a related operational role.
  • Experience coordinating contractors, maintenance providers, and service vendors.
  • Experience managing invoices, purchase requests, budgets, or facility-related expenses.
  • Strong organizational and project coordination skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft 365 applications, including Outlook, Teams, Excel, Word, and SharePoint.
PREFERRED
  • Experience supporting engineering laboratories, manufacturing facilities, warehouses, or technical organizations.
  • Familiarity with building systems, including HVAC, electrical, security, and access-control systems.
  • Experience supporting customer visits, executive events, and workplace programs.
  • Knowledge of OSHA requirements and workplace safety practices.
  • Facilities Management Professional (FMP), Certified Facility Manager (CFM), OSHA, or similar certifications
