Facility Admissions Coordinator

Part-Time; Evening Shift; Monday - Thursday 4pm-9pm + Weekends and Holidays

Principal Responsibilities and Tasks

The following statements describe the general nature and level of work being performed by people assigned to this classification. They are not an exhaustive list of all job duties.

  1. Serve as the first point of contact for patients and visitors, providing customer service in Patient Access/Patient Administrative Services to ensure a compassionate, efficient experience, recognizing patient anxiety and the need for clarity.
  2. Focus on interpersonal skills, data collection, situation assessment, and assist the team in developing solutions to achieve excellent customer service and hospital financial goals.
  3. Collect and verify patient and insurance demographics, review insurance benefits in Epic, provide cost estimates, secure pre-certifications or pre-notifications, collect co-pays and deposits, and offer financial assistance as needed.
  4. Guide patients to clinics and registration areas, maintaining knowledge of clinic locations for safe and efficient navigation.
  5. Maintain regulatory and functional knowledge of registration requirements to ensure accurate reporting and billing; obtain signatures and perform necessary clerical duties.
  6. Educate patients about insurance coverage and billing procedures, and communicate relevant information to staff and service areas regarding coverage issues.
  7. Ensure all paperwork is complete and accurate before filing admissions; contact physicians or clinical staff for incomplete registration documents.
  8. Manage department scheduling templates for outpatient providers to optimize utilization.
  9. Coordinate with Care Management and Social Work teams to ensure reimbursement information is obtained and pre-admission/pre-certification procedures are followed.
  10. Assist in training new admitting staff by demonstrating department processes and procedures.

Qualifications:

  • High school diploma or equivalent required.
  • Certification or membership in organizations such as AAHAM, NAHAM preferred.
  • At least 1 year of experience in clerical, customer service, or receptionist roles, preferably in healthcare; 2 years preferred.
