Person is responsible for defining the authority, accountability, reporting relationships, responsibilities, and measures the performance of facility construction projects. Person will also be responsible for assisting branches on facility management to help streamline and ensure proper maintenance is being performed, documented and approved.
Construction contracts as assigned Participates in and understands projects Reviews internal funding approval Review contract submission for compliance, works with internal teams on any discrepancies or concerns Coordinates construction contracts and verifying documentation (subcontractor/supplier listing, certificates of insurance, etc) requested has been received to ensure contractors meet the terms of the contract prior to the start of the work, follow up where needed Entry of insurance certificates for associated contractors, monitor validity through life of project Distributes to applicable parties for signature when necessary Follow document retention process for contracts and associated documents Manages contract and legal requirements during construction Deals with contract discrepancies, deviations, or updates Ensures adequate breakdown of invoicing to meet accounting guidelines, works with internal team and/or contractor as needed Submit requests to accounting for payment with approval documents Reviews incoming contract change orders for content and any associated documentation, routes to associated contract specialist Acquires adequate breakdown and documentation for contract change orders when required Follows up on project status when necessary Inspections Review, identify, track, and report on inspections submitted by field in E Maint Answering phone calls and assisting with problem resolution on facility issues Providing administrative support, guidance and training to fellow associates and field Other duties as assigned Personal Traits & Professional Attributes Microsoft, Smartsheet proficient Database experience Ability to communicate with many levels of management and within our hierarchy Multi-tasking – capable of setting priorities based on urgency Must be concise and able to direct internal and external associates with clear direction Personable, knowledgeable
