Job description

JOB SUMMARY:

Responsible for the organization’s day-to-day compliance, scheduling of required testing/maintenance/inspections, record keeping, and standards for the Environment of Care Chapters: Safety, Utilities, Hazardous Materials, and Life Safety. Acts as the Safety Officer to ensure a safe environment for patients, staff, and visitors, focusing on fall prevention, infection control, storage, and medication safety. Implements programs, procedures, and policies for proper maintenance and management. Maintains tenant correspondence for leased spaces. Prepares property operation manuals and management plans with the Facilities Manager. Handles administrative tasks such as expense reports, cost analysis, and capital budget requests. Assists with capital projects, contract reviews, and negotiations.

QUALIFICATIONS AND EDUCATION:

  • High school Diploma or GED; Trade School experience preferred but not required
  • Minimum 3 years’ experience in commercial/healthcare property management focusing on Environment of Care
  • Knowledge of Joint Commission and Pennsylvania Department of Health standards
  • Construction and design experience is a plus but not mandatory
  • Proactive with ability to meet deadlines
  • Strong project management skills
  • Team-oriented with good interpersonal skills
  • Ability to follow through on tasks
  • Dependable, flexible, and maintains confidentiality
  • Excellent oral and written communication skills

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Ensure compliance with safety, utilities, hazardous materials, and life safety standards; act as Safety Officer
  • Conduct property and safety inspections
  • Oversee vendor work and prepare for audits
  • Maintain industry certifications and stay updated on regulations
  • Keep records of property agreements, maintenance, repairs, and projects
  • Respond promptly to tenant inquiries and issues
  • Coordinate tenant move-ins and move-outs
  • Update property condition reports
  • Obtain bids and manage capital improvements
  • Assist with tenant finish construction and supervise contractors
  • Prepare rent notices and maintain insurance and vendor contracts
  • Manage service contracts and vendor relationships
  • Generate management reports and assist with budgets
  • Handle expense reconciliations and tenant communications
  • Perform other assigned duties

SUPERVISORY RESPONSIBILITIES:

No direct reports.

LANGUAGE SKILLS:

Effective communication in English with staff, physicians, and the public.

PHYSICAL DEMANDS:

Walking, climbing, bending, lifting up to 50 pounds (occasionally 75), manual dexterity, standing, machinery operation, and emergency response capabilities are required. Reasonable accommodations available for disabilities.

WORK ENVIRONMENT:

Exposure to bloodborne pathogens, gases, hazards, and weather conditions. May work long or irregular hours, indoors and outdoors, with exposure to chemicals and dust.
