Job Summary:

The Facilities Manager provides leadership and oversight of A New Leaf’s facilities operations, ensuring facilities are safe, secure, functional, and well-maintained. This position leads Facilities staff and oversees maintenance operations, facility projects and improvements, vendors and contractors, budgets, and safety and compliance requirements. The Facilities Manager works collaboratively with leadership and program teams to support facility needs across A New Leaf locations.

Responsibilities:
  • Oversee daily Facilities operations for assigned A New Leaf locations, ensuring buildings, grounds, equipment, and related systems are safe, secure, functional, and well-maintained.
  • Lead, supervise, train, and develop assigned Facilities staff, including assigning and prioritizing work, managing schedules and timekeeping, conducting performance evaluations, addressing performance and development needs, and fostering a respectful and collaborative work environment.
  • Participate in hiring and staffing decisions for the Facilities Department and provide recommendations regarding employee performance, recognition, corrective action, promotion, and separation in collaboration with Human Resources and leadership.
  • Oversee preventive and corrective maintenance activities, facility inspections, work orders, and required facility and vehicle checklists, providing guidance on troubleshooting and resolution of maintenance issues and ensuring timely completion and appropriate documentation.
  • Plan and manage short- and long-term facility projects, including repairs, renovations, improvements, expansions, relocations, and new construction, coordinating timelines, resources, vendors, and organizational needs.
  • Develop and manage assigned Facilities budgets, monitor expenditures, oversee purchasing of equipment and supplies, and identify opportunities to improve cost-effectiveness and resource utilization.
  • Manage relationships with vendors, contractors, service providers, landlords, tenants, and other external partners; obtain and evaluate proposals, coordinate work, and negotiate agreements within assigned authority to support quality, timely, and cost-effective services.
  • Manage Facilities inventory, tools, equipment, supplies, and Agency property to ensure appropriate availability, tracking, and accountability.
  • Oversee facility safety, security, and emergency readiness, including risks related to fire, flooding, utilities, building systems, and other facility-related hazards, and coordinate with emergency services or local authorities as needed.
  • Support compliance with applicable building, fire, life-safety, accessibility, occupational safety, inspection, and other facility-related requirements, as well as A New Leaf policies and procedures.
  • Oversee assigned Agency vehicle maintenance, repairs, emissions requirements, preventive maintenance, and vehicle records, including monitoring assigned vehicle locations and coordinating service needs.
  • Partner with organizational and program leadership and the Facilities team to assess facility needs, prioritize projects and maintenance requests, communicate facility plans or disruptions, and resolve facility-related concerns.
  • Utilize technology, work-order systems, and other tools to track facility needs, projects, maintenance activities, assets, and performance and identify opportunities to improve efficiency and service delivery.
  • Prepare and maintain Facilities reports and records related to projects, maintenance, inspections, purchases, budgets, vendors, vehicles, and other operational requirements, and communicate significant needs, risks, and recommendations to leadership.
  • Stay current with facilities management practices, safety requirements, building technologies, and industry developments and recommend improvements to Facilities operations, systems, and processes.
  • Perform other reasonably related duties as assigned.
Qualifications:
Education:
  • High School Diploma or GED required.
  • Associate's or Bachelor's degree in Facilities Management, Construction Management, Business Administration, or a related field preferred.
  • Relevant education, technical training, and experience may be considered.
Experience:
  • Minimum five (5) years of progressively responsible experience in facilities management, building maintenance, construction, property operations, or a related field.
  • Minimum three (3) years of supervisory or management experience, including responsibility for directing staff and managing performance.
  • Experience managing facility projects, preventive maintenance, and multiple competing priorities.
  • Experience managing budgets, purchasing, and expenditures.
  • Experience managing vendors, contractors, and service providers.
  • Experience in a nonprofit, human services, or similar multi-site environment preferred.
Working Conditions/Physical Requirements:
  • Work is performed in both office and field settings, with regular presence at assigned A New Leaf locations to support facilities operations and projects.
  • Regular local travel is required between assigned A New Leaf locations and to vendor, contractor, or project locations as needed. Travel to other A New Leaf locations throughout the Phoenix metropolitan area may be required based on operational needs.
  • Ability to regularly walk, stand, bend, reach, and navigate facilities, grounds, stairs, and project areas.
  • Ability to safely lift, carry, push, or pull up to 30 pounds, with assistance or appropriate equipment used for heavier items.
  • Ability to safely operate tools and equipment appropriate to assigned duties when trained and authorized.
  • Participation in Facilities on-call coverage is required and may include responding to urgent facility, maintenance, safety, security, or operational issues outside of regular business hours, including evenings, weekends, and holidays.
