Job summary

Exchange Bank in Santa Rosa, CA seeks a Facilities Manager to oversee and direct the bank’s facilities operations, including maintenance, systems, renovations, and capital projects. You will manage leasing, vendor relationships, and purchasing, lead facility staff, ensure ADA compliance, and coordinate with executive management to align space planning with business needs.

Responsibilities

  • Oversee planning and design of new facilities with architects and designers.
  • Manage leasing activities including procurement and vendor selection.
  • Direct facility staff and approve renovation, repair, or replacement needs.
  • Ensure warehouse operations and supply of goods and services.
  • Support ADA compliance through building inspections and improvement projects.
  • Schedule staff and provide leadership to direct reports.
  • Attend internal and external management meetings and represent the Bank.

Job description

Overseesand directs the Bank’s facilitiesfunction, including the maintenance, functionality, and long-term sustainability of buildings, mechanical systems, and infrastructure. Manages facility operations, lease administration, renovations, design planning, construction projects, and capital project planning. Oversees building systems, and manages relationships and transactions with landlords, developers, vendors, and contractors to ensure facilities support business needs and regulatory requirements.

POSITION TYPE & SCHEDULE:

Full-time, exempt. Typical business hours are Monday through Friday, with flexibility required based on business needs of the Bank.

ESSENTIAL FUNCTIONS
Facilities and Purchasing 60%:
  • Work directly with executive management to hire and work with the architect and interior designer to plan new facilities and present designs to executive management.
  • Plan,oversee,recommend,andcoordinatetheactivitiesinvolvedin constructing ,repairingand renovating the Bank's various buildings and facilities.
  • Manage leasing a ctivities of the Bank (excluding computer-related items). This includes conducting evaluations of purchase requests,selectingvendors,productprocurement,andreceivingand billing processing.
  • Directthe facility staff andapproverecommendations concerning renovation, repair, or replacement needs.
  • EnsureeffectivedeliveryandmanagementofWarehousefunctions and supply of goods and services.
  • Design,communicate,andfacilitateeffectivemovemanagement processes to minimize disruption to operations and employees.
  • Evaluatespaceplanningoptionsandvendors,recommend options that meet the space and project cost requirements.
  • Provide leadership forfacilitycompliance with the Americans with DisabilitiesAct,includingcompletingbuildinginspections,identifyingrelated projects, andinitiatingimprovementprojectsto ensure equal access to our building locations.
Management 30%:
  • Schedule staff and assign work to meet superior service and work plans
  • Recruit,select,train,andprovideleadershipandperformance feedback for direct reports
  • Recommendwageadjustments,staffing,andworkassignments
  • Conductregularstaffandcoachingmeetingswithdirectreports
  • EstablishgoalsandworkplansconsistentwithBankneedsand monitor progress
  • Recommendmethodsandprocedurestoimprovedepartmentefficiency.
  • Attendinternalandexternalmanagementmeetingsandrepresent the Bank at external functions and activities.
  • Member of the Safety Committee

Minimum Qualifications
  • Bachelor's degree in business administration or related field; or an equivalent combination of education and experiencetypically gained through a minimum of five years' experience in facilities management and purchasing including two years managerial experience
  • Valid driver's license
Required Knowledge, Skills and Abilities
  • Knowledge of facilities management, vendor management, supplier contracts, leases, purchasing and planning
  • Basic knowledge of building construction, building maintenance and office equipment
  • Skills operating a personal computer including word processing, spreadsheet and project software
  • Basic mathematical calculation skills
  • Ability to attend early morning and evening meetings
Physical Requirements

Ability to stand, bend, stoop, sit, walk, twist and turn. Ability to lift up to 15 pounds occasionally. Indoor office work environment with a majority of time sitting at a desk

The compensation range for this position is $115,867 to $150,000 annually. The compensation offered will fall within this range, commensurate with the candidate's applicable experience, education and skills.
