Job summary

TREK Development Group, a Pittsburgh-based real estate development firm, seeks a Facilities Manager to oversee life-safety compliance, vendor management, and portfolio facilities across multiple properties.

The role partners with Regional Managers to implement TREK's facilities standards, trains technicians, and manages capital projects. Strong communication and HVAC systems knowledge are essential for success.

Qualifications

  • 3+ years of experience in facilities management, building systems, or property operations.
  • Working knowledge of HVAC systems, life-safety systems, and preventive maintenance; hands-on HVAC trade licensure not required.
  • Experience managing vendor contracts and holding vendors accountable to performance standards.
  • Experience managing capital projects budget, schedule, and vendor coordination preferred.
  • Strong communicator, comfortable working directly with Regional Managers, site teams, and the HVAC Technician.
  • IFMA certification (FMP/CFM) a plus, not required.

Responsibilities

  • Serve as the primary facilities resource for Regional and Lease-Up Managers.
  • Own non-HVAC facilities-related vendor contracts across the portfolio — service agreements, renewals, and vendor performance for systems outside the HVAC Technician's scope.
  • Confirm the HVAC Technician's PM program is aligned with broader facilities standards and capital planning; the HVAC Technician owns day-to-day HVAC/mechanical PM scheduling, completion, and documentation.
  • Flag underperforming vendors to the Director; support the HVAC Technician on vendor escalations that carry compliance or capital implications.
  • Own life-safety compliance across the portfolio to include fire alarm, sprinkler, fire extinguisher, elevator, generator, and related systems.
  • Maintain the inspection and testing schedule for every property; confirm each inspection is completed and documented on time.
  • Manage life-safety vendor relationships scope of work, performance, pricing, and response time.
  • Own corrective action on any life-safety deficiency, scope the fix, engage the vendor or HVAC Technician as appropriate, and confirm resolution.
  • Keep Regional Managers informed of life-safety status and risk at their properties; elevate compliance exposure to the Director.
  • Build and maintain training materials and job aids for HVAC, mechanical, and life-safety systems used across the portfolio; direct the HVAC Technician's involvement in hands-on training.
  • Own onboarding of new maintenance technicians on portfolio-specific systems within their first 90 days.
  • Monitor facilities condition across the portfolio against TREK's facilities standards.
  • Partner with Regional Managers to execute facilities standards at the property level, walk properties, identify deficiencies, and drive resolution.
  • Escalate facilities risks or capital needs to the Director of Facilities & Capital Strategy.
  • Manage capital projects within the assigned portfolio from scope through completion budget, schedule, vendor coordination, and quality control.
  • Coordinate with the Director of Facilities & Capital Strategy on capital plan priorities and owner-approved budgets.
  • Serve as the point of contact for complex or portfolio-level facilities emergencies — not part of a defined on-call rotation, but available to support escalation, coordinate resolution among vendors and site staff, and communicate status directly to the Senior Leadership Team (SLT) as needed.

Under the direction of the Director of Facilities & Capital Strategy, the Facilities Manager is responsible for life safety compliance, vendor and contract management, and facilities condition across specified portfolio. This role owns life safety compliance portfolio-wide — inspection and testing schedules, vendor management, and corrective action — and trains site maintenance technicians on facilities and life safety systems so issues get resolved at the source whenever possible. The Facilities Manager also confirms the HVAC Technician's preventive maintenance program is aligned with broader facilities standards and capital planning and directs the HVAC Technician's priorities across the portfolio. The Facilities Manager partners with Regional Managers to execute Trek's facilities standards at the property level and manages capital projects within the portfolio. This role reports to the Director of Facilities & Capital Strategy and helps extend the Facilities & Capital Strategy department's standards into day-to-day execution.

Education & Experience
  • 3+ years of experience in facilities management, building systems, or property operations (multifamily or commercial preferred)
  • Working knowledge of HVAC systems, life-safety systems, and preventive maintenance best practices hands‑on HVAC trade licensure not required, but technical fluency needed to manage the function and direct the HVAC Technician effectively
  • Experience managing vendor contracts and holding vendors accountable to performance standards
  • Experience managing capital projects budget, schedule, and vendor coordination preferred
  • Strong communicator, comfortable working directly with Regional Managers, site teams, and the HVAC Technician
  • IFMA certification (FMP/CFM) a plus, not required
Physical Demands & Work Environment
  • Valid driver's license and ability to travel regularly across the assigned portfolio
  • Ability to work in mechanical rooms and on rooftops during property walks and inspections, and to respond to after‑hours emergencies as needed
