  • Strong organizational, analytical, communication, and interpersonal skills; ability to manage multiple priorities and coordinate cross-functional activities.
  • A valid driver's license is required.

Responsibilities

  • Coordinate maintenance, repair, and upkeep of building systems, equipment, electronics, and grounds; support PM schedules and renovations as applicable.
  • Perform routine inspections and ensure safety, maintenance, and regulatory compliance; direct corrective action.
  • Lead facility projects and planning, coordinating with stakeholders to support timely provisioning.
  • Manage building access controls, key control processes, and related records.
  • Develop relationships with contractors and vendors; monitor performance and pricing for quality and continuity.
  • Place orders for facility supplies, repair parts, and operational items; manage inventory and stocks.
  • Develop SOPs, service levels, purchasing card processes, and internal controls.
  • Support procurement activities by evaluating suppliers in line with objectives.
  • Prepare reports on maintenance, procurement, and cost savings; update management on progress.
  • Attend staff meetings; support process improvements; travel within the domestic U.S. may be required.

Description
SUMMARY:

The Facilities Manager supports the maintenance, repair, safety, functionality, and operational readiness of the central office and coordinates equipment and facility-related ordering for field offices. This role oversees building systems, equipment, grounds, vendor services, and facility-related projects to ensure safe, efficient, and compliant operations. In partnership with operations, accounting, and central office personnel, the Facilities Manager also supports procurement activities for facility supplies, equipment, and services while promoting cost efficiency, service quality, and continuity of operations.

ESSENTIAL FUNCTIONS:

The successful applicant should be able to perform all of the following functions at a pace and level of performance consistent with the job performance requirements.

  • Coordinates the maintenance, repair, and upkeep of building systems, equipment, electronics, and grounds, including planning and following preventive maintenance schedules and supporting renovations or new construction as applicable.
  • Performs routine inspections of facilities, equipment, and completed vendor work to identify safety, maintenance, and operational issues; directs corrective action and helps ensure compliance with company policies and applicable legal, regulatory, and ethical standards.
  • Manages facility-related projects and planning activities, including development and maintenance of all inputs to the Facility Resource Ordering Guide (FROG) Pro Forma planning and project models, while coordinating with facilities, central office, and operations management stakeholders to support timely provisioning of facilities.
  • Manages building access controls, key control processes, access databases, and related vendor resources, and maintains records associated with maintenance, facility support, and operational readiness activities.
  • Develops and maintains productive relationships with contractors, suppliers, and service providers; negotiates service terms and pricing, monitors vendor performance, and helps ensure quality, responsiveness, and continuity of facility operations.
  • Places orders for facility supplies, equipment, repair parts, and other operational items; processes requisitions, replenishes inventories, receives and stocks incoming freight, and ensures timely provisioning of facilities and field offices.
  • Develops and manages standard operating procedures, service level expectations, purchasing card administration processes, and internal controls to promote standardization, compliance, effective communication, and sound facility and purchasing practices.
  • Supports facility-related procurement activities by identifying, evaluating, and selecting suppliers and service providers based on price, quality, functionality, service levels, and delivery performance in alignment with company objectives.
  • Prepares regular reports on maintenance activity, vendor performance, procurement activity, cost savings, and departmental performance indicators; investigates spending anomalies and provides progress and status updates to management as required.
  • Conducts and/or attends staff meetings, issues written and oral instructions, responds to inquiries, supports process improvement initiatives, and performs other duties as requested, directed, or assigned. Domestic U.S. travel may be required.
QUALIFICATIONS:

Bachelor's degree from an accredited college or university required; qualifying full-time experience in facilities management, building operations, maintenance, construction coordination, or a related field may substitute for education on a year-for-year basis. Minimum of three (3) years of progressively responsible experience in facilities management, building operations, maintenance coordination, vendor management, or project management in a multi-site or high-volume environment is required. This experience must include responsibilities related to building systems, preventive maintenance, vendor and contractor management, work order coordination, construction or renovation projects, access control, facility compliance, purchasing, contract administration, and budget tracking. Proficiency in Microsoft Office applications, particularly Excel, is required. Candidates must possess strong organizational, analytical, communication, and interpersonal skills, with the ability to manage multiple priorities, coordinate cross-functional activities, analyze operational data, and work effectively with internal and external stakeholders. A valid driver's license is required.
