Established in 2001, ARTS has served thousands of youth and families through high-quality arts education, community-based projects, and supportive services.
POSITION DESCRIPTION
A Reason to Survive (ARTS) seeks a Facilities Coordinator who supports the Operations Manager to maintain efficient and smooth operation of the space. The person in this position is a problem solver who communicates professionally and effectively with internal and external stakeholders. This position will help coordinate the day-to-day needs of the space, assist with facility projects, and serve as a point of contact for outside vendors. The Facilities Coordinator will be asked to think both strategically about the larger efforts of the organization, along with performing highly detailed and work daily to ensure the ARTS Center continues to be a welcoming space for youth.
Expected hours: 12-15/week.
QUALIFICATIONS
- Any combination equivalent to an undergraduate degree with a minimum 2 years of experience of facility management and/or project management experience.
- General maintenance skills/knowledge of maintenance methods preferred.
- Bilingual Spanish is preferred.
- Ability to handle sensitive information with confidentiality, discretion and tact.
- Work well under pressure and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to work with a close-knit team.
- Cultural competency and ability to work with a diverse population.
- Must be able to successfully pass a Live Scan fingerprinting security clearance with the DOJ and FBI.
- Software: Zoom, Microsoft Office (Word & Excel), Google Suite (Docs, Sheets, Meet, Forms, etc), Slack, Asana, and Dropbox or willing to learn.
- Ability to understand and carry out verbal and written directions; maintain a schedule for periodic cleaning of assigned facilities; observe and report needs for maintenance; perform job duties without immediate supervision.
- Knowledge of methods, materials, safety practices and equipment used in cleaning, custodial work, and related skill sets.
DUTIES & RESPONSIBILITIES
Facilities/Maintenance (80%)
- Identify and schedule maintenance needs, including but not limited to facilities repairs, safety concerns, and equipment maintenance.
- Perform basic repairs that do not require specialized technicians. Examples include
- Supervise Facilities Specialist to ensure all custodial duties and projects are completed.
- Coordinate with programs and administrative team in projects involving building, construction, installation/deinstallation related to programming, gallery exhibitions, and events.
- Support with preparation, set up, and breakdown of spaces for events (as needed).
- Draft and implement preventive maintenance schedules for buildings and equipment.
- Ensure safety standards and standard operating procedures are followed throughout the facility.
Operations (20%)
- Submit all facility expenses for monthly reconciliation.
- Serve as a second point of contact for implementing, revising, and renewing agreements that ARTS has with third-party vendors.
- Manage and maintain admin workspace, including purchasing of office supplies.
- Support Operations Manager on organization of facility related files.
- Participate in weekly all-staff and team meetings.
- Maintain clear, effective, and open communication within team and vendors.
- Ensure that the ARTS Center is a safe and welcoming space for all: youth and families, board and staff, teaching artists and contractors, community members.
PHYSICAL DEMANDS
- Able to sit for prolonged periods of time at meetings, desk, computer.
- Able to sit at a desk and view a computer screen for up to two hours.
- Able to speak into and use a telephone.
- Able to lift and transport up to 25 pounds.
- Able to push/pull, may involve use of arms/hands, feet/legs.
- Able to reach overhead or below shoulder level.
- Able to hear, understand and distinguish speech and/or other sounds.
