Responsibilities

  • Perform on-site minor repairs and maintenance within scope of expertise.
  • Manage the work order system: initiate, prioritize,track, complete, and close work orders to acceptable standards; conduct quality assurance reviews.
  • Coordinate larger projects with external contractors and vendors, including developing scopes of work and budgets.
  • Conduct site inspections and document findings; perform final inspections with landlords or contractors as required.
  • Coordinate with authorities to address notices of violation and compliance issues.
  • Ensure facilities comply with OSHA, ANSI, NFPA, ADA, and local regulations through inspections.
  • Prepare for severe weather events and facility emergencies; available for after-hours issues as needed.
  • Educate hospital staff on facilities-related matters and maintenance awareness.
  • Develop relationships with hospital managers and leadership; communicate progress on work orders and facility performance.

Position Overview

Join our team as a Facilities Coordinator who is responsible for maintaining the hospital through hands-on minor repairs, preventive maintenance, and coordination of larger projects with external contractors and vendors. This role ensures a safe, functional, and compliant environment for patients, clients, and staff while managing work orders, regulatory issues, and emergency responses. Memphis Veterinary Specialists & Emergency in Memphis, Tennessee, is a leading specialty and emergency hospital providing advanced care across multiple disciplines. With board-certified specialists and 24/7 emergency services, the team delivers cutting-edge medicine when pets need it most.

Key Responsibilities
  • Perform on-site minor repairs and maintenance within scope of expertise (see Core Repair Categories below).
  • Manage the work order system: initiate, prioritize, track, complete, and close work orders to acceptable standards; conduct quality assurance reviews.
  • Coordinate larger projects (installations, major repairs, renovations), including developing scopes of work, obtaining and negotiating costs, managing change requests, overseeing vendors, and serving as liaison between CST Facilities Team, contractors and hospital leadership.
  • Conduct site inspections and walk-throughs; document findings; perform final inspections with landlords or contractors when required.
  • Resolve questions of repair responsibility between landlord and hospital.
  • Coordinate with local authorities (Code Enforcement, Fire Marshal, etc.) to address Notices of Violation and similar compliance issues.
  • Ensure facilities comply with applicable OSHA, ANSI, NFPA, ADA, and local regulations through regular inspections and procedural alignment.
  • Prepare for and respond to severe weather events, natural disasters, and facility emergencies (including potential temporary closures); available for emergency issues as needed (including after-hours).
  • Educate and collaborate with hospital team members on facilities-related matters and basic maintenance awareness.
  • Develop and maintain positive working relationships with hospital managers and leadership; communicate progress on work orders, inspections, emergency preparedness, and facility performance.
  • Prepare presentations, capital project budgets, operating budget inputs, and related reports for management approval as needed.
  • Use computer systems and/or mobile devices for work order management, email, and documentation.
  • Perform other related duties as assigned.
Core Repair Categories And Skills
  • Plumbing (Minor Fixes)
    • Repair leaky faucets; replace washers/cartridges.
    • Unclog drains and toilets.
    • Repair/replace running toilets (flappers, fill valves).
    • Install/replace basic fixtures (showerheads, toilet seats).
    • Caulk around sinks, tubs, and showers.
  • Electrical (Basic/Safe Work Only)
    • Replace bulbs and switches
    • Install/replace smoke and CO detectors.
    • Basic ceiling fan installation/repair and simple fixture work.
    • Repair/replace doorbells.
    • Strict adherence to safety protocols and local code limits; licensed electrician required for panel work, major wiring, or anything beyond basic scope.
  • Drywall and Wall Repairs
    • Patch small holes, cracks, and dents.
    • Repair or replace limited damaged drywall sections.
    • Sand and prepare surfaces for painting.
  • Painting and Finishing
    • Interior (and limited exterior) painting of walls, ceilings, trim, and doors.
    • Touch-ups and full-room refreshes.
    • Surface preparation (taping, sanding, priming).
  • Carpentry and Woodwork
    • Install/repair shelves, cabinets, trim/molding.
    • Hang/adjust doors (hinges, handles, locks, weatherstripping).
    • Basic furniture assembly or repairs.
    • Simple exterior repairs (e.g., fencing) as applicable.
  • Doors, Windows, and Hardware
    • Install/adjust hardware (knobs, locks, hinges).
    • Replace weatherstripping and seals.
    • Address sticking doors or windows.
  • Flooring and Tile
    • Repair or install small sections of tile (floors, backsplashes).
    • Fix loose/damaged flooring.
    • Basic grout repair or replacement.
  • General Maintenance and Installations
    • Securely mount TVs, pictures, shelves, and mirrors.
    • Assemble flat-pack furniture.
    • Basic gutter cleaning and pressure washing.
    • Install blinds, curtain rods, and minor window treatments.
    • Replace air filters and perform basic HVAC tasks (e.g., thermostat batteries).
Essential Abilities & Qualifications
  • Applicants must be 18 years of age or older to be considered for this position
  • Proficiency with common hand and power tools (hammers, screwdrivers, drills, levels, saws, plungers, etc.).
  • Strong safety awareness and problem-solving skills, including knowing when to stop and engage a licensed specialist (e.g., gas lines, major plumbing/electrical issues, structural concerns).
  • Excellent communication, organization, and customer-service skills; ability to explain work clearly and work collaboratively with staff and vendors.
  • Ability to manage multiple priorities, document thoroughly, and maintain professional relationships.
  • Familiarity with work-order systems, basic budgeting/project coordination, and regulatory compliance preferred.
  • Reliable transportation and ability to respond to facility needs as required.
Preferred Skills (Nice To Have)
  • Experience with scheduling third party maintenance services.
Schedule
  • Typical schedule would be Monday-Friday, 8AM-5PM. There will be some nights or weekends, depending on maintenance needs of the hospitals.
  • Schedule typically doesn't change unless there's a project that needs to be done outside of normal working hours.

Pay Range

$58,240—$66,560 USD
