Position Summary

The Facilities Coordinator, Construction & Asset Turnover oversees the successful transition of industrial real estate assets from construction completion through operational turnover while supporting the ongoing management of a multi-state property portfolio. This role coordinates construction closeout activities, facility operations, vendor relationships, capital improvements, and compliance initiatives to ensure assets are safe, efficient, well-maintained, and operating in accordance with company standards. The Facilities Coordinator serves as a key liaison among construction teams, contractors, tenants, vendors, and internal stakeholders to support asset performance and operational excellence.This position exercises independent judgment regarding facilities issues, contractor coordination, turnover readiness, and operational decisions.

Responsibilities
Construction Turnover and Project Coordination
  • Coordinate the transition of newly constructed and renovated facilities from project completion to operational occupancy.
  • Conduct inspections to verify compliance with approved plans, contracts, lease obligations, and project requirements.
  • Track project milestones, contractor schedules, and closeout activities to support timely project completion.
  • Identify, document, and coordinate resolution of construction deficiencies and punch list items.
  • Facilitate turnover meetings with contractors, consultants, and operations personnel.
  • Collect, organize, and maintain project documentation, including as-built drawings, warranties, permits, commissioning reports, and operations and maintenance manuals.
  • Support commissioning activities and verify documentation required for operational handoff is complete.
  • Coordinate with leasing, investment, accounting, and property management teams to ensure smooth asset integration.
  • Identify opportunities to improve operational efficiency and reduce operating costs during turnover and commissioning activities.
Facilities and Property Operations
  • Support the day-to-day operation of a multi-state industrial real estate portfolio.
  • Maintain relationships with vendors, contractors, and service providers supporting property operations and capital projects.
  • Conduct routine property inspections and initiate corrective actions to maintain property appearance, safety, and operational standards.
  • Monitor building systems, maintenance schedules, and vendor performance to ensure efficient facility operations.
  • Track work orders, projects, and service requests to ensure timely completion and tenant satisfaction.
  • Assist with the administration and oversight of vendor contracts, service agreements, and property-related expenditures.
  • Coordinate emergency repairs and assist with incident response activities as needed.
  • Coordinate facility access, security vendors, and life-safety related services to support safe and efficient building operations.
Compliance and Risk Management
  • Ensure compliance with company policies, lender requirements, government regulations, and industry standards.
  • Ensure compliance with site-specific safety, maintenance, and operational protocols.
  • Support life safety, building inspection, and preventative maintenance programs.
  • Assist with maintaining required records, permits, certifications, and regulatory documentation.
  • Monitor properties for compliance with company policies, lender requirements, lease obligations, and operational standards.
  • Promote safe work practices among contractors, vendors, and service providers.
Financial and Reporting Responsibilities
  • Assist with preparing, monitoring, and tracking property operating and capital budgets.
  • Review invoices, proposals, and service agreements for accuracy and compliance with approved budgets.
  • Track operating expenses and identify opportunities for cost savings and operational efficiencies.
  • Collect and analyze operational, maintenance, and work order data to identify trends, cost savings opportunities, service improvements, and operational efficiencies.
  • Prepare regular reports regarding property conditions, maintenance activities, project status, and asset performance.
Stakeholder Communication
  • Serve as a primary point of contact among construction teams, contractors, vendors, tenants, and internal business partners.
  • Provide regular project and operational updates to leadership and stakeholders.
  • Lead or participate in meetings related to facility operations, project turnover, maintenance activities, and capital improvements.
  • Build and maintain effective working relationships with internal and external partners.
Qualifications
Education and Experience
  • Bachelor’s degree in Facilities Management, Asset Portfolio Management, Construction Management, Engineering, Real Estate, Business Administration, or a related field.
  • Three to five years of experience in facilities management, property operations, construction coordination, project management, or a related field.
  • Experience supporting industrial, logistics, warehouse, manufacturing, retail, or commercial real estate assets preferred.
  • Experience reviewing budgets, operating expenses, service contracts, and financial reporting associated with real estate assets preferred.
  • Equivalent combinations of education and experience may be considered.
Knowledge, Skills, and Abilities
  • Working knowledge of construction processes, building systems, and facility operations.
  • Ability to read and interpret construction drawings, specifications, and technical documents.
  • Knowledge of building maintenance practices, life safety requirements, and regulatory compliance standards.
  • Strong project coordination and organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and Microsoft Project or similar scheduling software.
  • Experience with property management, construction management, or work order management software preferred.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Ability to communicate professionally with executives, tenants, public officials, design professionals, contractors, and service providers.
  • Ability to work independently while effectively collaborating with diverse stakeholders.
Preferred Qualifications
  • OSHA 10 or OSHA 30 certification.
  • Experience with Procore, BIM 360, Yardi, Building Engines, or similar platforms.
  • Professional certifications such as IFMA FMP, CFM, or related credentials are a plus.
Physical Requirements
  • Ability to regularly walk properties and construction sites.
  • Ability to climb stairs, ladders, and navigate active construction environments when required.
  • Ability to lift and carry up to 25 pounds.
  • Ability to wear required personal protective equipment while visiting project sites.
Travel Requirements
  • Up to 25% domestic travel is required to facilities and project sites throughout the portfolio.
