Job summary

Mid Michigan Community Action Agency in Michigan is seeking a Facilities Maintenance Assistant to support maintenance, ground keeping, equipment, and vehicle tasks across agency sites. Qualifications

Responsibilities

  • Coordinate facility work orders and maintenance requests across agency locations under the direction of the Facilities Manager.
  • Perform building repairs and maintenance, including plumbing, electrical, carpentry, lighting, equipment, and general facility upkeep.
  • Conduct routine inspections of facilities and grounds, identify maintenance and safety concerns, and work with building liaisons to maintain safe, functional, and well-maintained environments.
  • Coordinate contractor access and monitor work progress to ensure compliance with agency standards, specifications, and timelines.
  • Assist with preventive maintenance, inspections, and compliance activities related to HVAC systems, playgrounds, water wells, and other facility systems and equipment.
  • Maintain facility records, maintenance logs, inspection reports, work orders, and related documentation.

Job description

General Responsibilities
  • Coordinate and support maintenance and repair activities for agency facilities, grounds, equipment, and vehicles to ensure safe and efficient operations.
  • Assist the Facilities Manager with day-to-day administrative tasks.
  • Assist in coordinating day-to-day facilities operations, maintenance activities, and contractor services based on priorities established by the Facilities Manager.
  • Assist the Facilities Manager in planning, scheduling, and monitoring preventive maintenance activities across all agency sites.
  • Serve as an onsite resource to the administrative building agency staff, site representatives, contractors, and vendors.
  • Assist in ensuring compliance with agency safety policies and applicable state and federal regulations.
  • Assist the Facility Manager in identifying facility, equipment, and vehicle needs and developing practical solutions.
  • Assist the Facilities Manager with fleet maintenance coordination and vehicle-related record keeping.
  • Protect the privacy of employees and customers/families and maintain confidentiality of all information obtained in the course of employment.
Specific Duties
  • Coordinate facility work orders and maintenance requests across agency locations under the direction of the Facilities Manager.
  • Perform building repairs and maintenance, including plumbing, electrical, carpentry, lighting, equipment, and general facility upkeep.
  • Conduct routine inspections of facilities and grounds, identify maintenance and safety concerns, and work with building liaisons to maintain safe, functional, and well-maintained environments.
  • Coordinate contractor access and monitor work progress to ensure compliance with agency standards, specifications, and timelines.
  • Assist with preventive maintenance, inspections, and compliance activities related to HVAC systems, playgrounds, water wells, and other facility systems and equipment.
  • Maintain facility records, maintenance logs, inspection reports, work orders, and related documentation.
  • Assist with agency fleet operations, including vehicle maintenance scheduling, inspections, registrations, usage tracking, safety equipment monitoring, recordkeeping, and replacement planning.
  • Assist in maintaining building security systems, key control processes, facility access procedures, safety initiatives, and emergency preparedness activities.
  • Coordinate preventive maintenance activities under the direction of the Facilities Manager for playgrounds and assist in ensuring compliance with national and state safety guidelines.
  • Assist with meeting, training, and event setup as needed.
  • Participate in professional development activities and serve on agency committees as assigned.
  • Serve as a backup to the Facilities Manager for new hire orientation presentations and other assigned responsibilities.
  • Perform other duties as assigned.
Education and Experience Qualifications
  • Minimum of a high school diploma or equivalent.
  • Minimum of one year of experience in facilities maintenance, building operations, fleet coordination, or a related field preferred.
Additional Requirements
  • Must have proficient computer skills (Word, Excel, Outlook, and Internet).
  • Demonstrated effective oral and written communication skills.
  • Demonstrated initiative, flexibility, attention to detail, and ability to multitask.
  • Ability to organize, prioritize, and coordinate multiple projects and work assignments.
  • Must have reliable transportation, a valid driver’s license, provide proof of insurance, and pass MMCAA’s driving record review.
  • Pass State Police criminal clearance, DHS Child Abuse/Neglect clearance, and other required background checks.
  • Physically able to lift and carry up to 75 pounds on a daily basis.
  • Ability to work on roofs, climb ladders, and enter confined spaces such as crawl spaces.
  • Ability to work in varied environmental conditions including heat, cold, rain, dust, and other outdoor conditions.
  • Receive and maintain First Aid/CPR certifications.
  • Ability to work independently while effectively directing and coordinating the work of others.
  • Must be self-directed and able to adapt to changing priorities and daily challenges.
