About This Position

The Contract Administration Section within the Facilities & Services (F&S) Division supports the Aviation Department by overseeing hundreds of complex contracts, ensuring compliance, and strengthening operational coordination across a wide range of services. The F&S Division is seeking a Facilities Contracts Planner/Scheduler to support these efforts through data driven contract analysis, compliance monitoring, and structured onboarding for end users and vendors.
This position plays a key role in reviewing contract utilization data, identifying trends, and supporting decisions that help maintain efficient and reliable service delivery. In addition, the Facilities Contracts Planner/Scheduler will assist with contract compliance, onboarding programs, and developing scopes of work when needed. The role requires strong organizational abilities, consistent follow through, and the capacity to support multiple contract activities simultaneously.
Key Responsibilities Include
- Support contract fiscal oversight by monitoring activity, utilization, expiration, and general performance trends.
- Review purchase orders to evaluate spending patterns and analyze trends relevant to operational planning.
- Lead the audit program to identify and address contractor issues that may affect contract progress.
- Provide onboarding and general support to internal staff for newly awarded contracts.
- Work with internal staff to ensure services delivered under all active contracts reflect the scope of work.
- Developing, tracking, or reporting on KPIs for contract performance and vendor issues.
- Coordinate regularly with internal teams and vendors to support consistent contract execution.
- Assist in developing clear and detailed scopes of work for new and re occurring contract procurements, ensuring alignment with subject matter expert expectations and operational needs.
- Support contract amendments by reviewing requested changes, managing submissions, and coordinating updates with subject matter experts to ensure clarity and continuity.
IDEAL CANDIDATE
- Ability to develop scopes of work.
- Ability to track performance measures and trends and produce reports thereof.
- Strong written and verbal communication skills.
- Computer literacy skills including word processing, spreadsheets, databases, email, and calendaring/organizer function, and ERM systems (SAP/SRM).
SALARY
Pay Range: $33.27 to $49.15 per hour.
Hiring Range: $33.27 to $44.58 per hour.

Minimum Qualifications
- Three years of skilled trades experience in electrical, HVAC, building maintenance, or operations and maintenance of a water/wastewater treatment plant, facility, or system, including proficiency using a computerized maintenance management system.
- OR Three years of skilled experience planning and scheduling in fields such as electric utilities, property management, chemical manufacturing, large-scale manufacturing and high-tech manufacturing or other industrial setting.
- Other combinations of experience and education that meet the minimum requirements may be substituted.

Preferred Qualifications
- Experience with ERM systems (SAP and/or SRM).
- Experience working with contract users and facilitating meetings to support effective operations.
- Experience tracking contract utilization, including fiscal monitoring, budget alignment, or spend analysis.
- Experience applying procurement principles to create, interpret, and validate scopes of work, and contract specifications.
- Experience supporting compliance activities such as documentation reviews, audit preparation, and records management.
- Experience performing contract administration tasks, including monitoring terms, coordinating renewals, and supporting compliance activities.
- Experience supporting facilities and services functions, including understanding of maintenance operations and associated work order processes.
