Role context: Project Services is a construction department within Facilities Management that manages a portfolio of major infrastructure and renovation projects totaling $200M per year.

Your Role on the Team

The Construction Project Manager Associate supports senior Construction Project Managers on large projects and independently oversees small to mid-size renovation, maintenance, repair, and Minor Capital Projects. The role guides each project from design concept and budget development through final construction coordination, with supervisory input. It evaluates program requirements, budget constraints, building systems, utility infrastructure, and code compliance to define and communicate project scope. It ensures regulatory standards and organizational policies are met through structured review processes. It proactively identifies opportunities to adjust construction and design contracts to fit evolving project needs. It maintains consistent communication with key stakeholders through timely status updates and progress reports.

Key Responsibilities
  • Support and assist senior project managers on large projects from planning through close-out, including maintaining project documentation, reviewing contract documents and change orders, monitoring progress, assisting with inspections, drafting and reviewing schedules and budgets, and managing construction documents and estimates.
  • Interface and coordinate work with other units (Parking and Transportation, UCPD, CNS).
  • Coordinate small design and construction projects, including program development, bids, and supervising construction and contractors.
  • Manage project reviews for conformance to regulatory requirements and organizational policies.
  • Oversee training and close-out documentation to meet contract requirements, including warranties, record drawings, and Operations & Maintenance Manuals.
  • Recommend modifications to construction and design contracts to reflect project needs.
  • Perform organizational and administrative activities not directly related to projects (e.g., serving on organizational committees).
  • Create projects in Project Management software, including reporting and updating project status, budget, and schedule.
  • Collaborate with Facilities Management inspection group, DCS contracts unit, Project Accounting, and Facilities Management Maintenance and Operations to ensure policy adherence and project delivery.
  • Participate in Emergency Response Building Rapid Assessment Team and other duties as assigned.

What It Takes to be Successful

Required
  • Knowledge of building and construction, design, contract administration, and California Building Codes.
  • Ability to develop project scope and drawings.
  • Computer skills in word processing, spreadsheets, and MS Office.
  • Strong written, verbal, and interpersonal communication skills, including negotiation.
  • Good organizational and analytical skills; detail-oriented in proofreading contracts and documents.
  • Ability to work with people at varying levels of design and construction knowledge to explain scope, decisions, costs, schedule, and compliance, achieving high customer satisfaction.
  • Bachelor’s degree in a related field and/or equivalent experience/training.
  • 0-4 years experience in Architectural, Engineering, or Facilities fields, including team-based renovation project experience valued from $50,000 and up.

Driver’s License: Required to hold a valid driver’s license and meet driving record requirements per local policies; consider enrollment in the California Employer Pull Notice Program.

Preferred
  • Ability to manage contractors and ensure compliance with scope and budget.
  • Proficiency with construction project management software.
  • Knowledge of industry standards and utility system characteristics for building inspections and design development.
  • Experience working with consultants and material vendors on design/construction options.
  • Knowledge of University Policies and Procedures applicable to the Irvine Campus.
  • Knowledge of estimating man-hours and material costs for various projects.
  • Ability to adjust industry procedures to project-specific conditions.
  • Knowledge of Public Contracting Code and Policies for procuring professional services, purchase orders, and construction contracts.
  • USGBC LEED credentials; PMI-PMP; Association of Energy Engineers-Certified Energy Manager; active California professional license (Architect or Professional Engineer).

Special Conditions: Must be able to work outside regular hours (on-call), comply with UC vaccine policy, and wear PPE.
