Base pay range: $21.00/hr - $22.00/hr

Job Overview

The Assistant Manager is responsible for customer service, rent collection, follow-up on delinquent residents, processing purchase orders and invoices, and other duties as assigned by the Community Manager. Tasks may include leasing, marketing, accounting, maintenance oversight, resident relations, and reporting. The Assistant Manager should be capable of managing the business operations in the absence of the Community Manager.

Responsibilities
  • Accounts Receivable: Accept and accurately post rent and payments in Yardi.
  • Ensure residents can use online and electronic payment methods.
  • Address late rent payments following IPM policy, including notices and personal contact.
  • Make daily bank deposits.
  • Inform residents of NSF checks within 24 hours of notification and follow-up within 48 hours.
  • File evictions and manage the eviction process, including court attendance.
  • Inspect units within 24 hours of move-out and perform move-out inspections.
  • Handle bad debts and process security deposits within specified timeframes.
  • Prepare month-end reports as required.
Business/Financial Responsibilities
  • Follow purchase order policies, reconcile statements, and monitor approvals.
  • Process invoices for payment post-approval.
  • Manage vendor processes and ensure compliance.
  • Review budgets weekly for variances and missing invoices.
  • Respond to accounting inquiries and assist in monthly close.
  • Process deposit statements and submit within three days of move-out.
General Duties
  • Use Yardi software for rent posting and reporting.
  • Answer calls professionally.
  • Assist in leasing and resident relations.
  • Implement renewal and retention programs.
  • Conduct pre-inspection walk-throughs.
  • Ensure compliance with policies.
  • Monitor move-outs and initiate make-ready processes.
  • Support leasing activities and monitor leasing reports.
  • Complete utility logs and service requests.
  • Serve as backup to the Community Manager when needed.
Qualifications
  • At least 1 year of Assistant Community Manager experience.
  • 2+ years in multi-family apartment industry.
  • Customer service or public dealing experience.
  • Experience in leasing, collections, or management is a plus.
Education & Training
  • High School Diploma or GED.
  • Business, marketing courses preferred.
  • Proficient in MS Office.
  • Experience with property management software required.
Skills & Schedule

  • Knowledge of social media is a plus.
  • Ability to work with diverse backgrounds.
