Monday - Friday, daytime hours

As an Experience Specialist/Receptionist, you are the first person to greet patients as they walk into our clinics. Primary duties include checking-in patients, assisting with scheduling, answering phones, processing co-payments, and follow-up appointments as needed. Customer service, empathy, and compassion are essential assets in this role.

Responsibilities
  • Greet patients and visitors, obtaining accurate information and signatures for office records.
  • Obtain signatures on all forms relevant to the current visit from the patient or authorized family member.
  • Photocopy and scan insurance cards and driver’s licenses.
  • Adhere to all confidentiality policies and procedures.
  • Answer calls promptly and professionally, taking messages and directing calls appropriately.
  • Retrieve, file, photocopy, or scan medical correspondence, reports, and miscellaneous items as requested.
  • Collect payments, issue receipts, and reconcile daily accounts receivable for deposits.
  • Strive to improve quality and customer service by exceeding expectations.
  • Demonstrate FOCUS values and Expectations for Personal and Service Excellence, adhering to policies and procedures.
  • Open and close the clinic following specific guidelines.
  • Refer patients needing financial assistance to a Financial Advocate.
  • Perform other duties as needed due to extenuating circumstances.
  • Other duties as assigned.
Qualifications

Education:

  • High School Degree or Vocational School Graduate

Experience:

  • Previous medical office experience preferred
  • Strong customer service skills
  • Excellent computer skills and abilities
  • Ability to understand and apply guidelines, policies, and procedures
  • Strong interpersonal skills to interact effectively with physicians, healthcare team members, patients, and support staff
  • Effective communication skills
  • Proficiency in Microsoft Office
  • Customer and patient-focused approach
  • Medical terminology knowledge or background is a plus
