Job description

The Experience Manager is responsible for cultivating a welcoming, organized, and highly functional workplace experience at Pereira O'Dell's East Coast headquarters in New York City. As the first point of contact for employees, clients, candidates, and guests, this person plays a critical role in bringing our agency culture to life and ensuring the office runs seamlessly day to day.

Equal parts hospitality ambassador, operational problem-solver, and culture champion, the Experience Manager oversees office operations, facilities, vendor relationships, and in-office events while partnering closely with leadership and internal teams to create an engaging, efficient, and inspiring workplace.

  • Workplace Experience & Hospitality: Serve as the face of the office and first point of contact for employees, clients, candidates, and guests. Manage reception, greet and assist visitors, coordinate guest needs, and oversee visitor check-in systems. Create a welcoming, hospitality-driven environment that reflects Pereira O'Dell's culture and values.
  • Facilities & Building Management: Oversee day-to-day facilities operations, including repairs, preventive maintenance, HVAC, cleaning, safety, and security. Serve as the primary liaison with the landlord and building management, ensuring issues are addressed promptly and building requirements, contracts, certificates of insurance (COIs), and compliance standards are maintained.
  • Office Operations & Systems: Manage daily office needs, including mail and packages, office supplies, pantry inventory, conference room readiness, seating arrangements, access credentials, and shared workplace systems. Oversee office technology and equipment such as printers, screens, projectors, kitchen appliances, lighting, alarms, and visitor entry systems.
  • Vendor Management: Source, coordinate, and manage office vendors and service providers, including cleaning, maintenance, catering, and office supplies. Maintain vendor relationships, contracts, and service records to ensure quality, efficiency, and reliability.
  • In-Office Events & Culture: Partner with leadership and internal teams to plan and execute office events, including team lunches, client meetings, workshops, celebrations, all-hands gatherings, and agency happy hours. Manage logistics from planning through day-of execution, helping foster connection, collaboration, and a positive office culture.
  • Executive & Partner Agency Support: Provide administrative and operational support to the Chief Growth Officer and other agency leaders, including meeting coordination, guest travel arrangements, expense reports, and special projects. Support Pereira O'Dell's partner agencies within the global Serviceplan Group with office-related needs, meetings, and events.
  • Onboarding, Offboarding & IT Support: Partner with internal teams and external IT providers to ensure new hires have the equipment, accounts, access, and workstations needed for a seamless first day. Support employee offboarding, equipment retrieval, reimaging and redeployment, basic IT troubleshooting and semi-annual electronic waste disposal.
  • Health, Safety & Security: Partner with Employee Services and building management to maintain workplace safety procedures, emergency protocols, visitor policies, and required office documentation, ensuring a safe and secure environment for employees and guests.
  • Workplace Improvements & Special Projects: Collaborate with leadership and the broader operations team to identify opportunities to enhance the office experience. Gather employee feedback, recommend operational improvements, and lead workplace initiatives that evolve alongside the needs of the business.
Required Knowledge, Skills & Qualifications
  • Hospitality-Minded: Genuinely passionate about creating a positive, welcoming experience for employees, clients, and guests, with a service-first mentality.
  • Highly Organized & Detail-Oriented: Dependable, efficient, and capable of managing multiple priorities while maintaining exceptional attention to detail.
  • Proactive Problem-Solver: Resourceful, solutions-oriented, and comfortable taking initiative to anticipate needs and resolve challenges with minimal oversight.
  • Strong Communicator: Excellent verbal and written communication skills, with the ability to interact professionally and confidently with employees, executives, clients, and external partners.
  • Operationally Savvy: Comfortable managing facilities, vendors, office systems, and workplace logistics in a fast-paced, dynamic environment.
  • Tech-Comfortable: Proficient with workplace collaboration tools such as Slack, Google Workspace, and Zoom, with basic IT troubleshooting skills and a willingness to learn new systems.
  • Collaborative & Adaptable: Able to work effectively across departments, manage competing priorities, and adjust quickly to changing business needs.
  • Hands-On & Accountable: Willing to roll up your sleeves and take ownership of everything from everyday office tasks to unexpected challenges and special projects.
  • Professional & Discreet: Exercises sound judgment and discretion when interacting with senior leadership, confidential information, and external partners.
Work Environment & Physical Requirements
  • This is a fully in-office position based in New York City, Monday through Friday, 9:00 AM–6:00 PM ET.
