Job description

JOB TITLE: Executive Support Assistant (part-time)
LOCATION: Arizona (remote)
DURATION: 3+ months to start
RATE RANGE: $20-28/hr

POSITION SUMMARY:

We are looking for a highly organized and proactiveExecutive Support Assistant to support our clients sales team with calendar management, scheduling, and meeting coordination. This is a part-time role (10–20 hours per week), ideal for someone who is detail-oriented, communicative, and enjoys keeping things running smoothly behind the scenes.

RESPONSIBILITIES:

  • Coordinate and schedule internal and external meetings across multiple time zones

  • Manage and update calendars, ensuring key meetings and priorities are scheduled appropriately

  • Send meeting reminders and follow-ups to team members and stakeholders

  • Prepare and distribute agendas or relevant documents before meetings (as needed)

  • Assist with light administrative tasks and communications as required

  • Help optimize scheduling processes to improve team efficiency

QUALIFICATIONS:

  • Strong organizational skills and attention to detail

  • Excellent verbal and written communication skills

  • Ability to manage multiple calendars and coordinate with multiple stakeholders

  • Proficiency in Google Calendar, Outlook, Zoom, or similar scheduling tools

  • Self-starter who can work independently with minimal supervision

  • Previous experience in an administrative or scheduling role is a plus, but not required
