Responsibilities

Executive Program Support and Documentation Specialist

KBR is seeking an Executive Program Support and Documentation Specialist with demonstrated experience in technical and administrative documentation development, executive support, records management, correspondence preparation, meeting coordination, and program administration. Proven ability to gather, analyze, verify, and communicate complex information through clear, accurate, and compliant written products while coordinating with leadership, subject matter experts, and external organizations to achieve mission and organizational objectives.

Key Responsibilities
  • Analyze documentation requirements and develop, organize, and maintain materials supporting executive leadership, program management, and organizational operations.
  • Plan, coordinate, and prepare technical and administrative documentation, correspondence, briefings, reports, meeting materials, read-ahead packages, and related publications for leadership review and decision-making.
  • Research, compile, write, review, and edit correspondence, reports, program documentation, operating procedures, and official communications to ensure compliance with organizational standards, templates, and applicable guidance.
  • Consult with leadership, program personnel, subject matter experts (SMEs), and support organizations to gather, validate, and communicate information necessary for mission execution and organizational objectives.
  • Manage executive calendars, schedules, and travel requirements, coordinating with internal and external stakeholders to facilitate communication, meeting participation, and mission accomplishment.
  • Develop and coordinate recurring and ad hoc meetings, reviews, briefings, video teleconferences, and executive engagements, ensuring required participants, technical data, and supporting materials are properly prepared and distributed.
  • Support leadership in communicating program issues, risks, recommendations, and decision packages, facilitating timely executive review, intervention, and resolution.
  • Prepare, process, and maintain travel documentation utilizing the Defense Travel System (DTS), including travel authorizations, vouchers, supporting records, and associated documentation.
  • Compile, organize, and maintain records management systems, correspondence files, action item trackers, and official documentation repositories in accordance with applicable policies and procedures.
  • Track, monitor, and coordinate tasks, workflow actions, suspense items, and program deliverables utilizing task management systems and organizational reporting tools.
  • Acquire and verify information through interviews, meetings, observations, review of operational documentation, regulations, instructions, and program records to ensure the accuracy and completeness of official documentation.
  • Prepare meeting agendas, record meeting minutes, document action items, and distribute final products to support organizational communication and decision-making processes.
  • Coordinate security-related administrative actions, including visitor access, security clearance verification, visit requests, documentation transfers, and facility access requirements.
  • Support the preparation, review, and processing of personnel actions, evaluations, awards, decorations, and official military and civilian correspondence in accordance with established procedures.
  • Perform office management, administrative operations, and documentation control activities to ensure efficient execution of organizational goals and procedures.
  • Contribute to the development, improvement, and standardization of documentation processes, administrative procedures, and organizational best practices.
  • Support major publication and documentation projects through data collection, content development, editing, coordination, quality review, and final publication activities.
  • Perform related duties and responsibilities as assigned in support of organizational, programmatic, and mission objectives.
Qualifications
Required
  • An active Top Secret clearance with SCI/SAP eligibility is required, which is something only a U.S. citizen can obtain.
  • Bachelor’s degree in Business Administration, Project Management, Organizational Leadership, Communications, Public Administration, or related field.
  • 8+ years of experience supporting executive operations, organizational integration, project management, program management, executive administration, or similar leadership support functions.
  • Demonstrated experience coordinating across multiple stakeholders, organizations, and competing priorities in a fast-paced environment.
  • Exceptional organizational skills and attention to detail with proven ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills, including preparation of executive correspondence, reports, and meeting materials.
  • Advanced proficiency with digital collaboration and project management tools to include Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, and Teams.
  • Demonstrated ability to proactively identify issues, develop solutions, and drive actions to completion.
Desired
  • Master’s degree in Business Administration, Organizational Leadership, Project Management, Public Administration, or related discipline.
  • Experience supporting Senior Executive Service (SES), Flag Officer, General Officer, or equivalent executive-level leadership.
  • Knowledge of Space Systems Command, U.S. Space Force, Department of the Air Force, or Department of Defense organizations and processes.
  • Experience supporting strategic planning, executive operations, staff integration, or organizational management functions.
  • Familiarity with government acquisition, program management, and executive decision-making processes.
  • Strong facilitation and stakeholder management skills with demonstrated ability to build consensus across diverse organizations.

Basic Compensation

$100,000 - $120,000

This range is for Colorado only.

The offered rate will be based on the selected candidate’s knowledge, skills, abilities and/or experience and in consideration of internal parity.

Additional Compensation

KBR may offer bonuses, commissions, or other forms of compensation to certain job titles or levels, per internal policy or contractual designation. Additional compensation may be in the form of sign on bonus, relocation benefits, short term incentives, long term incentives, or discretionary payments for exceptional performance.
