Job summary

A nonprofit organization is seeking an Executive Operations Specialist to provide high-level administrative support to the CEO. The mission of PEAK Parent Center is to provide training, information, and technical assistance to equip families of children, birth through twenty-six, including all disability conditions with strategies to advocate successfully for their children. Position Summary

The Executive Operations Specialist provides high-level operational and administrative support to the CEO, strengthening organizational effectiveness through executive coordination, governance support, and accurate data management. This role enhances efficiency, accountability, and alignment with the organization’s strategic priorities.

Executive Assistant and Reception Duties
  • Provide executive-level administrative and calendar management support to the CEO to ensure effective leadership, accountability, and alignment with organizational priorities.
  • Perform administrative functions that support the CEO ’s governance responsibilities and the efficient operation of the organization.
  • Coordinate CEO outreach activities in collaboration with the management team to support organizational relationships and strategic initiatives.
  • Plan, coordinate, and document team meetings, retreats, and governance-related activities in accordance with organizational policies.
  • Serve as a professional point of contact for internal and external stakeholders, responding to inquiries and directing communications appropriately.
  • Maintain accurate records, manage data and electronic filing systems, and prepare reports and correspondence to support transparency and informed decision-making.
  • Support organizational events, workshops, and conferences, including materials preparation, logistics coordination, and post-event follow-up.
  • Safeguard confidential organizational, board, staff, and participant information in accordance with nonprofit governance standards and applicable regulations.
  • Ensure designated accommodations and support is provided to staff with disabilities to enable full participation, consistent with organizational policy and legal requirements.
Operational Specialist Duties
  • Serve as a primary point of contact for general inquiries regarding PEAK activities.
  • Support project staff with training marketing, preparation, delivery, and follow-up, including preparation and participant communications.
  • Assist with training logistics to ensure designated trainers have required materials, resources, technology, and travel accommodations.
  • Prepare and provide project status reports.
  • Assist with event and webinar data collection, analysis, compilation, and reporting.
Supervisory Duties

None

Organizational Relationship

Reports directly to the CEO and interfaces with other departments as needed.

Education or Formal Training
  • High school graduate or equivalent required
  • Three to five years related experience, preferred
Required Skills and Knowledge
  • Proficiency of computer applications including databases, Microsoft Word, Excel, and PowerPoint
  • Proficiency in Salesforce is a plus, or performance management systems
  • Strong organizational and time management skills
  • Strong customer service skills and principles
  • Strong verbal and written communication skills
  • Experience with complex office equipment
  • Team player
  • Detail orientation
  • Experience in orchestrating and handling a wide range of administrative support tasks in a timely, efficient manner
  • Punctual with strong attendance history.
Preferences
  • Bi-lingual (English and Spanish language skills) a plus
Job Requirements
  • Position requires availability outside standard business hours, including occasional evenings, weekends, extended conference hours, and overnight in‑state trainings.
  • Must follow proper safety procedures when performing physical job tasks
  • Participate in staff development activities as assigned
Decision Making Responsibility

Exercise sound judgment and accountability in daily decision-making, with consideration for people, costs, service quality, and client relationships. Maintain confidentiality and safeguard PEAK Parent Center information in accordance with agency standards.

Job Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and web‑based conferencing tools.

Physical Demands
  • Must meet physical requirements to perform essential job functions
  • Regularly required to talk and hear
  • Frequently required to sit, stand, walk, use hands, and reach with arms
  • Occasionally required to stoop, kneel, crouch, or crawl
  • Ability to lift 30 pounds.
  • Vision requirements: close, distance, color, peripheral, depth perception, and focus adjustment
Position Type and Expected Hours

This position is Full‑time. Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening, overnight, and weekend work may be required as job duties demand, particularly during the conference.
