Qualifications

  • 5+ years of experience in Executive Operations, executive business partnership or senior EA supporting leaders in a fast-paced organization.
  • Direct experience supporting a COO/CEO/President or other executive with broad responsibilities is strongly preferred.
  • Experience coordinating priorities across multiple senior leaders and a broad leadership portfolio.

Responsibilities

  • Strategic and operational partner to the COO, anticipating needs and advancing objectives.
  • Provide coordinated executive support to COO and senior operations leaders, ensuring alignment and follow-through.
  • Manage complex calendars, travel arrangements, and executive logistics with competing priorities.
  • Prepare executive briefings, presentations, reports, dashboards, and meeting materials.
  • Coordinate executive, board-level, and cross-functional meetings with agendas and materials.
  • Review KPIs, dashboards, scorecards, and reports to identify trends and risks.
  • Synthesize data into clear summaries and actionable insights for decisions.
  • Coordinate information across functions to ensure accurate executive materials.

This individual will operate with significant autonomy, helping protect executive time, prepare leadership for critical meetings and decisions, track organizational commitments, interpret performance information, and ensure disciplined follow-through across a broad portfolio of initiatives.

About the Job:
  • Serve as a strategic and operational partner to the COO, anticipating needs, managing priorities, protecting executive time, and helping advance key organizational objectives
  • Provide coordinated executive support to the COO and senior operations leaders, ensuring alignment across priorities, communications, meetings, and follow-through
  • Manage complex calendars, scheduling, meeting coordination, travel arrangements, and executive logistics while balancing competing priorities
  • Prepare executive briefings, presentations, reports, dashboards, talking points, and meeting materials to ensure leadership is well prepared for key discussions and decisions
  • Coordinate executive, board-level, senior leadership, and cross-functional meetings, including agenda development, materials preparation, documentation of decisions, and follow-up
  • Review and interpret operational KPIs, dashboards, scorecards, and recurring reports to identify trends, variances, risks, opportunities, and areas requiring leadership attention
  • Synthesize complex operational information and performance data into clear, accurate executive summaries and actionable insights to support informed decision-making
  • Partner across functions to gather information, validate data, clarify metrics, and ensure executive materials are accurate and reliable
  • Track strategic initiatives, milestones, decisions, commitments, action items, risks, and dependencies to ensure accountability and timely follow-through
  • Translate leadership priorities into organized workplans, project trackers, meeting cadences, and clear next steps with accountable owners and measurable outcomes
  • Serve as a communication bridge between the COO's office, senior leadership, employees, and external stakeholders, helping maintain alignment and effective information flow
  • Draft and coordinate executive communications, leadership updates, meeting notes, talking points, and operational briefings
  • Coordinate special projects, strategic initiatives, leadership priorities, planning sessions, retreats, and cross-functional workstreams from preparation through execution
  • Conduct research, analyze information, and develop summaries, options, and recommendations to support strategic and operational decision-making
  • Identify opportunities to improve workflows, communication, reporting, accountability, and operational efficiency
  • Quickly learn and leverage digital platforms, dashboards, reporting tools, and collaboration systems to enhance executive and organizational effectiveness
  • Manage expense reporting, travel coordination, vendor communication, files, and other administrative and operational responsibilities in support of executive leadership
  • Handle highly sensitive information and executive relationships with exceptional discretion, professionalism, and sound judgment

About You:
  • 5+ years of experience in Executive Operations, Executive Business Partnership, senior-level Executive Assistant, Operations Coordination, or a similar role supporting senior leadership in a complex, fast-paced organization
  • Direct experience supporting a COO, CEO, President, Senior Vice President, or other executive with broad organizational responsibilities strongly preferred
  • Experience supporting multiple senior leaders and coordinating priorities across a broad leadership portfolio
  • Strong business acumen with demonstrated ability to understand executive priorities, anticipate needs, exercise sound judgment, and identify issues requiring escalation
  • Comfortable working with KPIs, dashboards, scorecards, operational metrics, and performance trends and translating data into meaningful executive-level insights
  • Strong analytical skills with exceptional attention to accuracy and the ability to distinguish facts, assumptions, unresolved questions, and recommendations
  • Outstanding organizational and project management skills with the ability to bring structure to complex priorities and maintain disciplined follow-through
  • High emotional intelligence with the ability to build trusted relationships, navigate sensitive situations, and interact effectively across all levels of an organization
  • Exceptional written and verbal communication skills with experience preparing polished executive reports, presentations, briefings, and correspondence
  • Resourceful, proactive, and solutions-oriented with the ability to operate independently and exercise sound judgment with minimal direction
  • Comfortable working in a dynamic environment with evolving priorities, organizational change, and high expectations for responsiveness
  • Strong digital aptitude with the ability to quickly learn new technology platforms, dashboards, reporting tools, and collaboration systems
  • Bachelor's degree required; advanced degree preferred

Full time in office: 7:45 am – 5:00 pm with occasional availability outside of standard business hours. Some travel may be required.
