The non-profit Green Infrastructure Center is seeking an Executive Manager to serve as the Executive Directors right hand: leading organizational budgeting and operations, overseeing grants and contracts, supervising staff, and helping guide GICs strategic direction. This is a leadership development position with opportunities for significant personal and professional growth.

About

Founded in 2006, the national, non-profit Green Infrastructure Center Inc. (GIC) is a leading designer of landscape conservation planning and conserving nature for healthier communities. The GIC helps communities realize that nature is green infrastructure and shows them how to use natural solutions to address climate change, urban heat islands, public health, and increased social and economic equity. This position is located at GICs Headquarters office in Charlottesville, VA. The position requires in-person office work. For more about GICs work see: https://gicinc.org/

Position Overview

GIC employs 24 full-time staff, plus part-time staff, with offices in 4 states. GICs administrative department includes the executive director, the senior accountant, and accountant. The Executive Manager works directly with the Executive Director on organizational strategy and decision-making, directs budgeting and financial planning, oversees day-to-day operations, and supervises the accounting team. GICs accountants handle bookkeeping, payroll processing, and transaction-level accounting; this is a management and leadership position, not an accounting position. The Executive Director will mentor the Executive Manager across all aspects of running the organization, including program development, fundraising, partner relations, and board governance.

Responsibilities
Leadership and Strategy
  • Serve as the Executive Directors principal deputy and advisor on organizational priorities, program direction, and grant pursuits.
  • Help develop, implement, and track GICs strategic plan, annual goals, and performance measures.
  • Develop and recommend organizational policies and procedures and ensure they are applied consistently across all offices.
  • Represent GIC with partners, funders, government agencies, and the public as directed, and act for the Executive Director in their absence.
  • Prepare and present financial and management reports to the Board of Directors and support board meetings and governance.
Budgeting And Financial Management
  • Lead development of the annual company budget, working with program managers and the accounting team.
  • Review, update, and track the company budget throughout the year; analyze variances and recommend adjustments.
  • Oversee cash flow planning and forecasting with the GIC accounting team.
  • Review financial statements and use them to inform management decisions.
  • Develop budgets for grant and contract proposals and assist with preparation of bids and proposals.
  • Coordinate annual audit responses for the contracted audit firm.
Grants And Contracts
  • Oversee the portfolio of federal, state, local, and private grants and contracts, ensuring compliance with federal grant requirements and funder terms.
  • Work with program managers and the accounting team to ensure timely completion of grant invoicing and reporting.
  • Track project budgets and staffing against grant scopes and deadlines.
Operations And Administration
  • Oversee day-to-day operations of GICs headquarters and field offices.
  • Ensure all corporate filings are submitted when required (federal registrations, state annual reports, property taxes, and other charitable registrations).
  • Oversee payroll review and processing by the accounting team using the Paychex portal.
  • Manage and negotiate contracts, subcontracts, and vendor agreements, and oversee insurance, technology, and office facilities.
Staff Management
  • Supervise the accounting staff and other staff as assigned; set work priorities, provide constructive feedback, and evaluate performance.
  • Support staff professional development and help program managers grow their management skills.
  • Schedule staff performance reviews, onboard new staff, and manage benefit programs.
  • Lead recruitment, hiring, and personnel decisions with program managers and ensure compliance with federal grant requirements for employees.
  • Foster a collaborative, accountable workplace culture across all offices.
Personal Skills
  • Strategic thinking and sound judgment in making decisions and setting priorities.
  • Strong written and oral communication, including presentations to the board, funders, and partners.
  • Leadership and team management, including tasking staff for optimal workflows.
  • Emotional intelligence: empathy, self-awareness, and the ability to build trust with staff, partners, and the board.
  • Critical thinking and the ability to analyze financial and program data to support decisions.
  • Ability to manage multiple projects and deadlines at once while maintaining accurate records and files.
  • Effective time management and organizational skills; sometimes under strict time constraints.
  • Tact, diplomacy, and resourcefulness in resolving problems and managing stressful situations.
  • Maintenance of safeguards for sensitive and confidential information and follow professional, ethical practices.
  • Interest in GICs mission of conserving nature for healthier communities.
  • Maintain a sense of humor and a collaborative attitude.
